Role Overview
The Fashion Merchandiser Admin Assistant will provide administrative and operational support to the Import Merchandising team, ensuring the smooth management of product development, critical paths, supplier communications, and purchase order processes. The successful candidate will work closely with Merchandisers, Buyers, Product Developers, Suppliers, Logistics teams, and Warehouse Operations to help deliver products on time, within budget, and to the required quality standards.
Key Responsibilities
- Support the merchandising team with day-to-day administrative tasks.
- Raise and maintain purchase orders accurately within internal systems.
- Update product information, costing sheets, and supplier records.
- Manage and maintain merchandising reports and critical path documents.
- Assist in preparing weekly trading and stock reports.
- Ensure all product data is accurate and up to date.
- Track and monitor production orders from confirmation through to delivery.
- Liaise with overseas suppliers and factories regarding production status.
- Chase samples, approvals, shipment dates, and documentation.
- Support the management of critical paths to ensure key deadlines are met.
- Monitor shipment schedules and communicate any delays or risks.
- Assist with import documentation and coordination with freight forwarders.
- Build strong working relationships with international suppliers and manufacturers.
- Communicate daily with suppliers regarding orders, production updates, and delivery schedules.
- Resolve administrative issues relating to purchase orders and shipments.
- Support negotiations on timelines and delivery expectations.
- Assist in maintaining seasonal range plans and assortment trackers.
- Support sample management, ensuring samples are received, logged, and distributed.
- Prepare product information packs and supplier briefing documents.
- Help manage product lifecycle administration from development through to launch.
- Produce and distribute weekly KPI reports.
- Assist with sales, stock, and intake analysis.
- Identify and escalate potential supply chain risks.
- Support forecasting and stock planning activities.
- Work closely with Buying, Design, E-commerce, Logistics, and Warehouse teams.
- Support product launches and seasonal range reviews.
- Assist with ad hoc projects to support business growth and operational improvements.
Skills & Experience Required

- Previous administrative experience within fashion, retail, merchandising, buying, sourcing, or supply chain is advantageous.
- Excellent organisational and time management skills.
