The Role: Service Delivery Coordinator
This role sits at the centre of the Wellbeing Network. It brings together service delivery, partnerships, communications, volunteer and facilitator management, funding, and reporting into one role, with one person accountable for making sure it all comes together.
We're looking for someone who doesn't just manage a task list, but takes charge of the organisation's day-to-day running the way they would if it were their own. Someone who can hold multiple threads at once, work with discipline within the realities of a small organisation, and keep themselves accountable without needing to be chased.
As the network secures more funding and partnerships, this role will grow with it, including into new areas of provision (younger people, the LGBTQIA+ community) and, over time, into new boroughs. Whoever takes this on should be excited by that trajectory, not just the role as it stands today.
Key Responsibilities
1. Service Delivery & Programme Coordination
- Plan, coordinate, and oversee a diverse programme of wellbeing sessions and activities, ensuring accessibility, inclusivity, and strong engagement.
- Prepare and publish monthly schedules, coordinating with members, facilitators, and partners.
- Manage weekly session logistics: booking facilitators, preparing materials, setting up venues, and troubleshooting on the day.
- Monitor attendance and ensure accurate, timely data entry into the CRM.
2. Partnerships & Stakeholder Management
- Build and grow partnerships with NHS, council, and community organisations, including co-delivery, referrals, and joint events.
- Develop both in-kind and monetary partnerships that allow the network to expand its offer, reach new communities, and grow into new areas.
- Represent HWN in external meetings and forums, including the Peer Steering Group.
- Lead outreach to build provision for younger people and the LGBTQIA+ community from the outset, and support the network's future expansion into other boroughs.
3. Volunteer & Facilitator Management
- Recruit, train, and supervise a team of around 40 volunteers, allocating them to sessions and providing ongoing support and recognition.
- Coordinate our paid facilitators: booking, scheduling, and processing their payments, alongside the same relationship‑building and communication as with volunteers.
- Encourage and develop service‑user‑led activities, supporting members to move into facilitation roles themselves.
4. Communications
- Draft and send newsletters, updates, and monthly communications to members and partners.
- Keep WhatsApp groups, mailing lists, and contact records accurate and up to date.
- Respond promptly and professionally to enquiries by phone, email, and messaging platforms.
- Promote activities through social media and community channels to keep sessions well attended.
5. Funding, Reporting & Administration
- Write and submit funding applications independently, and support the wider team on bids led by others.
- Produce accurate, timely reports, including monthly reports, Peer Steering Group reports, and funder monitoring returns.
- Support data collection and analysis to inform service improvement and funding requirements.
- Track budgets, expenses, and resource needs, working within the funding the network has secured.
- Maintain GDPR and confidentiality compliance across all record‑keeping and communications.
Ideal Candidate
We're looking for someone who is:
- A genuine self‑starter, who takes ownership of their work and their area of the organisation without needing to be managed closely.
- Motivated by the cause itself: reducing isolation, supporting wellbeing, and helping people feel they belong.
- Comfortable with the realities of a small organisation, where the same person can be writing a funding bid one hour and setting up a room the next.
- Organised and disciplined enough to keep several moving parts on track at once, and to hold themselves accountable for the outcomes.
- A confident relationship‑builder, equally at ease with NHS colleagues, council officers, volunteers, and members.
- Excited by growth: ready to help build out provision for younger people and the LGBTQIA+ community, and to grow with the organisation as it expands.
Person Specification
Essential Skills & Experience
- A degree (or equivalent experience) in community development, social care, sociology, development, or a related field.
- Experience working in a small or lean organisation where one role spans several functions.
- Experience managing partnerships with different stakeholders or organisations.
- A track record of managing multiple, competing priorities without close oversight.
- Confident with IT systems, including CRM databases, spreadsheets, email, and social media.
Desirable Skills & Experience
- Demonstrable experience independently writing and winning funding bids.
- Experience developing provision for younger people or the LGBTQIA+ community.
- Experience supervising, motivating, or coordinating volunteers or staff.
- Experience reporting to funders or commissioners.

Terms & Benefits
- Salary: £28,600 per annum
- Reports to: Operations Manager
- Hours: 40 hours per week, full-time (occasional evenings and weekends required)
- Contract: 1-year FTC, with yearly renewal
- Location: Office‑based at The Arts Centre Hounslow
- Start date: Early August 2026 (preferred)
