Scope
We are looking to hire a Workplace Assistant to join our Corporate Services department in the London office. This is an important role which will rely on great teamwork, being hands on with an excellent ‘can do’ friendly attitude and a desire to be physically active throughout the day.
This is a dual role assisting the facilities team with all building-related matters and helping the front of house team with a concierge-style service for clients, visitors and employees.
Responsibilities
As a workplace assistant, your duties will involve:
Workplace
- Conduct regular walk-rounds of the workplace checking for issues and assisting employees as required ensuring everything is logged via the Service Desk .
- Assist employees with general first fixes and work with the Facilities and IT teams for swift resolution to all issues.
- Assist the FS with health and safety related matters and escalate any issues as per the process.
- Ensure the workplace is always clean, tidy and clutter free reporting any issues via the Service Desk .
- Assist with workplace moves and changes.
- Assist with invoice processing and reconciliations.
- Assist with the issuing, monitoring and return of security passes
- Liaising with external contractors ensuring good communication.
Soft Services
- Meet and greet all visitors and take them to their assigned desk or office (and provide an office tour for first-time visitors).
- Acknowledging visitor requests and send pre-arrival welcome emails.
- Assist with visitor desk allocation planning and ensure visitors are seated in the correct place.
- Ensure visitor welcome packs are placed on desks (ideally the night before) and cleared in a timely manner after visitor departures.
- Maintain supply of visitor welcome packs and oversee stock levels of products (ensuring these change regularly)
- Oversee the employee new hire and new baby gifts boxes and send to other offices in the region.
- Assist with ad-hoc project work.
- Assist with on-site/off-site events.
Basic Qualifications
- At least 3 years’ experience working in guest services, reception or hospitality in a 5-star environment.
- Highly proactive, personable and people-focused – going the extra mile is an everyday occurrence that comes naturally.
- Good understanding of Microsoft Office and Excel.
- Experienced problem solver, diligent, detailed and thorough.
- Acts with integrity and always understands the importance of confidentiality.
- Upholds the highest standards of professionalism.
- Enjoys being part of a team and contributes enthusiastically to meetings and forums.
- Must take pride in their work and encourage others to always do their best.
- Enjoys process and can implement new processes where required.
