Hot 'on Heating are a Plumbing and Heating business which has operated for over 50 years. We are seeking a highly organised and professional Office Administrator to join our team. The successful candidate will be responsible for managing daily administrative tasks, supporting office operations, and ensuring smooth communication between customers and our engineers.

Duties:

  • Managing incoming calls with professional phone etiquette and directing them appropriately.
  • Organising and maintaining files, records, and documentation in both physical and digital formats.
  • Performing data entry tasks accurately using Google Workspace and our CRM software.
  • Assisting with scheduling appointments, meetings, and coordinating calendars of our engineers, arranging and ordering relevant parts and equipment.
  • Preparing correspondence, reports, and presentations as required.
  • Communication with third parties regarding job progress.
  • Handling general administrative duties such as photocopying, scanning, and organising office supplies.

Experience:

  • Proven office experience or administrative background.
  • Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and QuickBooks.
  • Strong organisational skills with the ability to prioritise tasks efficiently.
  • Excellent typing skills for data entry and document preparation.
  • Previous clerical experience involving filing systems, data management, and correspondence handling.
  • Ability to demonstrate professional phone etiquette and clear communication skills.
