Administrator in Sheffield

Sheffield Full-Time On-site
H

Here at Hothouse Beauty, we’re home to some of the UK’s most exciting beauty brands. Our portfolio includes St. Moriz, the award-winning self-tan and SPF brand loved by beauty enthusiasts and professionals alike, and Crazy Kids, our fun and colourful bathing range designed especially for little ones.

About the Role

We’re looking for a highly organised Administrator to join our growing Innovations team in Sheffield. You’ll keep our technical documentation accurate, compliant and on time, and make sure the product information our customers, partners and regulators need is always ready.

This role suits someone with a sharp eye for detail who enjoys a busy, varied workload. It also suits someone who wants to build their knowledge of product compliance, accreditation standards and industry legislation.

Every product we make needs a solid set of documents behind it before it can reach shelves in the UK and overseas. That includes Product Information Files, certifications and export paperwork. You’ll play a key part in making sure that happens smoothly.

How you’ll work

You’ll report to the Innovations Manager. Day to day you’ll work closely with our Senior Chemists, Supply Chain Assistant, Purchasing Manager and Quality Assurance team.

The Innovations and Technical teams will set the standards and priorities. Your job will be to keep the documentation behind our products organised, accurate and up to date.

You’ll also work with our factory team to make sure everything they need is in place on time. You’ll be supported as you build your knowledge of accreditations, legislation and export requirements

The Details

Technical Documentation

  • Make sure all documentation is completed on time and follows the correct formatting standards. This includes documents such as Product Information Files (PIFs).
  • Help keep our technical records accurate, consistent and ready whenever they’re needed.

Laboratory Databases

Maintain our laboratory databases so product and formulation information is always current and easy to find.

Query Management

  • Respond to internal and external queries by pulling together the information, documents and correspondence needed.
  • Act as a reliable point of contact, making sure customers, partners and colleagues get what they need quickly.

Factory Support

Work with the factory team to make sure all required documentation is provided on time, so production keeps moving.

Accreditations

  • Support documentation renewals for our Cruelty Free and Vegan accreditations.
  • Build your understanding of accreditation standards and what’s needed to keep them in place.

Export Markets

  • Help prepare the documentation needed for our products to be sold in export markets.
  • Develop your knowledge of how requirements differ from market to market.

Administration

Take on ad hoc administrative tasks when needed, supporting the wider team wherever you can.

What We’re Looking For

We’re looking for someone who is organised, detail-focused and calm under pressure and who wants to grow their knowledge of product compliance.

We’d love to hear from you if you:

  • Have exceptional attention to detail and take pride in getting things right first time.
  • Have excellent communication skills, both written and verbal.
  • Have good IT skills, including Excel, Word, PowerPoint and databases.
  • Are interested in developing your knowledge of accreditation standards and relevant legislation.
  • Understand the product development and manufacturing process.
  • Have experience working in a fast-paced environment with large volumes of work.
  • Are approachable, calm and focused, with strong administration skills.
  • Are highly organised, a strong multitasker and a self-starter who can prioritise and delegate tasks appropriately.
  • Are a passionate team player who enjoys working across different departments.

What matters most to us is your eye for detail, your organisation and your willingness to learn.

We are passionate about our people and proud to be an equal opportunities employer. We celebrate diversity and are committed to creating an inclusive environment for all employees.
