Role Overview

The Wedding & Events Proactive Sales Assistant plays a key role in driving venue sales across Hothorpe Venues.

This is an exciting opportunity for a confident, personable and commercially minded individual to join our Weddings & Events team and become one of the first points of contact for prospective couples and event clients.

The role focuses on converting enquiries into bookings by delivering exceptional first impressions, nurturing leads and showcasing our beautiful spaces and experiences to prospective clients.

You will manage enquiries from initial contact through to booking, responding across phone, email and online venue portals, while conducting engaging site tours and maintaining consistent follow-up throughout the sales journey.

You will also work closely with the wider Weddings & Events team to ensure a seamless handover once a booking is confirmed, helping to deliver an exceptional client experience from the very beginning.

This is a hands‑on sales role where relationship building, organisation and attention to detail are just as important as achieving commercial targets.

Responsibilities

  • Enquiry Management & Sales
  • Manage incoming enquiries via phone, email and venue portals such as Bridebook and Hitched.
  • Respond to enquiries promptly, professionally and in line with Hothorpe's service standards.
  • Deliver warm, engaging and informative first impressions that reflect the luxury Hothorpe experience.
  • Proactively follow up with prospective clients to maximise conversion and maintain a strong sales pipeline.
  • Build rapport quickly and develop strong relationships with prospective couples and event clients.
  • Understand client requirements and confidently communicate how Hothorpe can meet their needs.
  • Prepare proposals, quotes and follow‑up communications that align with venue packages, pricing and promotional activity.
  • Identify opportunities to maximise bookings and contribute towards monthly and quarterly revenue targets.
  • Site Tours & Client Engagement
  • Conduct engaging and informative site tours for prospective couples and event clients.
  • Showcase Hothorpe's beautiful spaces, facilities and experiences in a way that brings the client's event to life.
  • Tailor each tour to the individual client's requirements, ensuring they feel welcomed, understood and inspired.
  • Confidently answer questions regarding venue offerings, packages, availability and the client journey.
  • Ensure every interaction reflects the high standards and luxury positioning of Hothorpe Venues.
  • Lead & Pipeline Management
  • Maintain consistent follow‑up with prospective clients throughout the enquiry and decision‑making process.
  • Manage and prioritise multiple enquiries simultaneously without compromising the quality of communication.
  • Maintain an accurate and healthy sales pipeline, ensuring opportunities are progressed appropriately.
  • Keep CRM systems and enquiry logs accurate and up to date.
  • Record client interactions, follow‑up activity and booking information accurately.
  • Ensure no suitable sales opportunity is missed through effective organisation and follow‑up.
  • Weddings & Events
  • Stay up to date with Hothorpe's venue offerings, seasonal packages and promotional activity.
  • Develop a strong understanding of the different spaces, packages and experiences available across Hothorpe Venues.
  • Attend external wedding fairs, showcases and industry events as required.
  • Work collaboratively with the Events team to ensure a smooth and professional handover once a booking is confirmed.
  • Support the wider team in delivering an exceptional experience throughout the client journey.

Requirements

  • Previous experience in hospitality, events or sales, with venue sales experience an advantage.
  • Confident communicator with excellent written and verbal communication skills.
  • Strong customer service mindset with a warm, professional and personable manner.
  • Comfortable speaking to prospective clients on the telephone and communicating confidently by email.
  • Comfortable using CRM systems, email platforms and online enquiry portals.
  • Highly organised, with the ability to manage multiple enquiries and priorities simultaneously.
  • Proactive, enthusiastic and motivated by achieving commercial targets.
  • Strong attention to detail and accuracy when preparing proposals, quotes and maintaining client records.
  • Able to remain calm and professional under pressure, particularly during busy periods.
  • Passionate about weddings, events and creating memorable client experiences.
