We’re looking for a detail-oriented and highly organised Marketing Production Coordinator to support the delivery of marketing campaigns and maintain brand consistency across Malmaison and Hotel du Vin.

This role is all about keeping the marketing engine running smoothly. You’ll manage the production and distribution of marketing collateral, but you’ll also provide wider administrative support to the Marketing & Digital team, helping coordinate project timelines, budget tracking, supplier relationships, and stakeholder updates.

You’ll work closely with the brand, commercial and digital teams to make sure all assets land on time, look professional, and meet brand guidelines, while contributing to a seamless guest experience.

What you\’ll be doing as Marketing Production Coordinator:

  • Manage the end-to-end ordering, production and delivery of marketing collateral (menus, posters, stationery, signage and other branded materials)
  • Maintain and update a centralised inventory and ordering system for all assets
  • Raise purchase orders, track budget lines, and monitor supplier invoices
  • Liaise with suppliers to ensure production is cost-efficient, brand-compliant and on schedule
  • Coordinate artwork updates, proofreading and approvals with internal stakeholders and design partners
  • Support campaign rollouts by managing critical paths and tracking milestones
  • Prepare and circulate project status updates, action logs and key deadlines to the wider team
  • Organise samples, proofs and sign-offs with brand and commercial colleagues
  • Lead logistics for collateral distribution to hotels or head office
  • Maintain a library of artwork files, ensuring correct version control
  • Provide general administrative support to the Marketing & Digital team, including diary coordination, team comms and ad hoc project assistance

What we’re looking for:

  • Experience in marketing administration, production coordination or procurement
  • Excellent organisational, communication and project management skills
  • Strong attention to detail, with a proactive and solution-focused approach
  • Comfortable managing multiple projects and deadlines simultaneously
  • Confident working with external suppliers, couriers and agencies
  • Familiar with budget tracking and purchase order systems
  • Competent user of Microsoft Office, particularly Excel, project management tools (such as Asna or Monday.com) and asset management platforms
  • Knowledge of print production processes and supplier management desirable
  • Positive, collaborative attitude with great communication skills
