We specialise in luxurious corporate entertainment, making every event special for you and your guests. Based in Maidstone, our dedicated event management staff is always ready to help you plan the perfect event.
The role requires a co-ordinator to cover Maternity Leave who has excellent organisational skills with the ability to use their own initiative. The candidate should hit the ground running and work to extremely tight deadlines to support the Guest Experience Manager. The right candidate will join the Event Operations department where our core responsibility is to build, maintain and implement our Customer Experience Strategy. Reports to the Guest Experience & Dispatch Manager.
Key Responsibilities
- Request itinerary information from suppliers.
- Chase suppliers for itineraries.
- Work with Guest Experience Manager on all requests from customers for postal address updates, parking, dietaries etc.
- Update/Record systems with all client information.
- Communicate event information to Account Managers detailing delivery expectations.
- Dealing with general Customer ticketing queries.
- Update ticketing apps.
Customer Experience (Dispatch)
- Allocation and distribution of tickets: Managing post and working with Royal Mail or other courier services.
- Submit information to dispatch records.
- Responsible for all post using click and drop Royal Mail.
- Manage incoming packs: Quality assurance.
- Client communication (Phone and email).
- Ensuring guest information has been received from the customer and logged accordingly.
Information Security Responsibilities
- Handle financial data in line with information security policies, ensuring confidentiality and accuracy.
- Follow role-based access controls and maintain secure records in accounting systems.
- Adhere to secure data handling, storage, and disposal practices.
- Report security incidents or anomalies promptly.
- Participate in annual information security and fraud awareness training.
Key Skills & Attributes
- High degree of focus, attention to detail and organisation.
- Unflappable and confident dealing with customers.
- Experience within a high-paced dispatch/postal or courier environment is preferred.
- Ability to work well and consistently under pressure.
- Able to prioritise workload ‘drop off and pick up’ tasks where necessary.
- Confident and analytical problem solver with effective communication skills.
Working hours
Normal hours of work are Mondays to Thursdays from 8.45am to 5.30pm and on a Friday from 8.45am to 5.00pm. Morning and afternoon break 11.00am – 11.15am & 4.00pm – 4.15pm Lunch Break – 1.00pm – 2.00pm.
