What you’ll do

  • HR Administration & Employee Lifecycle
    • Act as first point of contact for People & Culture queries, managing the shared mailbox and providing guidance on policies, processes, and employee matters, escalating where appropriate.
    • Deliver end-to-end administrative support across the employee lifecycle, including recruitment, onboarding, changes to employment, and offboarding.
    • Produce contracts, letters, and employment-related documentation.
    • Complete pre‑employment checks including Right to Work, references, DBS, and qualifications.
    • Monitor probation periods and ensure timely reviews and confirmations.
    • Complete employment references.
  • Systems, Data & Reporting
    • Maintain accurate employee records in HR systems and ensure compliance with data protection and retention policies.
    • Produce and distribute regular reports (e.g. absence, onboarding, length of service) to support business decisions.
    • Manage and maintain PeopleHR, SharePoint, and internal platforms, ensuring information is accurate, accessible and up to date.
    • Coordinate the HR calendar and key people-related activities.
  • Compliance & Governance
    • Support compliance audits and ensure all regulatory and policy requirements are met.
    • Maintain audit‑ready records for employee files, training, and statutory requirements.
    • Track and monitor mandatory training completion and renewal deadlines.
  • Learning & Development Coordination
    • Coordinate end-to-end training administration, including booking courses, managing attendee lists, sending communications, and updating records.
    • Support the delivery of company induction programmes, ensuring a smooth onboarding experience.
    • Maintain training records, qualifications, and compliance data through regular audits.
    • Monitor completion of eLearning and compliance training, working with managers to ensure completion targets are met.
    • Coordinate external training activities, including agreements, tracking, and feedback.
  • L&D Projects & Engagement
    • Coordinate and support L&D initiatives, projects, and events, ensuring effective planning and delivery.
    • Support the Work Experience Programme, including liaising with schools and coordinating placements.
    • Contribute to employee engagement activities such as newsletters and internal communications.
    • Provide administrative and coordination support across wider People & Culture projects.
  • Meetings & General Support
    • Prepare documentation for meetings and take accurate notes where required.
    • Support People & Culture team members with administrative and project activities.

Your Experience

  • Previous experience of working in an administrative or coordinator role.
  • Experience of working with HR or people management systems (such as PeopleHR or similar).
  • Computer literate with experience of using programmes such as Word, Excel, PowerPoint etc.
  • Used to handling confidential and sensitive data.

Your Qualifications

  • Level 3 CIPD qualified (or a willingness to study towards this qualification).
  • A good standard of education with excellent written and verbal communication skills.

This role will be based at Havant Leisure Centre but will be expected to travel to other company sites as the need requires.
