Role Description

The Administrative Assistant is a full-time, on-site role based in West Wickham, providing efficient administrative support to ensure smooth day-to-day operations.

Responsibilities include handling phone calls and inquiries, managing correspondence, maintaining records and filing systems, and organizing documents and office supplies.

The role involves supporting executives and managers with calendar management, meeting coordination, minute-taking, and preparation of reports and presentations.

The Administrative Assistant will greet visitors, manage reception duties, and liaise with internal teams and external partners to facilitate clear communication and timely information flow.

This position also supports compliance with internal procedures and contributes to a professional, welcoming, and well-organized environment for staff, children, and young people.

Qualifications

  • Strong administrative assistance and clerical skills, including document management, filing, data entry, and general office support.
  • Professional phone etiquette and communication skills, with the ability to handle inquiries, relay messages accurately, and interact confidently with diverse stakeholders.
  • Experience providing executive administrative assistance, such as diary management, meeting coordination, minute-taking, and preparation of reports or presentations.
  • Proficiency with common office software (e. g., Microsoft Office or equivalent) and basic IT skills for managing electronic records and communication tools.
  • Excellent organizational skills, attention to detail, and the ability to prioritize tasks and meet deadlines in a busy environment.
  • Ability to work collaboratively with multidisciplinary teams and maintain a calm, professional manner in a setting that supports children and young people.
  • Awareness of safeguarding principles and confidentiality requirements; previous experience in education, social care, or a related environment is beneficial.
  • Relevant vocational qualification or training in administration or office management is advantageous; equivalent experience is also welcome.
