Guest Services Assistant – Clinical Support
We\’re looking for a highly motivated and enthusiastic Administrative Assistant to deliver first-class guest services in our clinical support team to patients at The Horder Centre in Crowborough. This is a part-time position, working 22.5 hours per week. Hours are on a shift basis, including Saturdays on a rota.
About you:
- Minimum of 2 years customer service experience, face-to-face and on the phone.
- At least 2 years recent administration experience.
- Ability to multi-task and work confidently alone.
- Good communication and interpersonal skills at all levels.
- A friendly telephone manner that conveys a smile.
- Proficient in Microsoft Word, Excel, and Outlook with recent experience.
- Excellent keyboard skills.
- Good general education, minimum GCSEs or equivalent (A-C / 5-9) in Maths and English.
Nice to have:
- Customer Service training.
- Experience in a medical setting.
- Experience with petty cash records and reconciliation.
- Knowledge of iPMS software.
- Medical Records management experience.
Key duties:
- Answer and forward telephone calls appropriately.
- Greet visitors, patients, and staff confidently and professionally, directing them as needed.
- Contribute to high standards of Customer Care.
- Provide clerical, typing, and support to the clinical team.
- Collaborate with other departments to ensure a seamless patient journey.
- Handle filing, faxing, photocopying, and retrieval of patient notes following records management guidelines.
- Coordinate annual leave and sick leave coverage within the Clinical Support team.
- Cover for other Guest Services Assistants as needed.
- Record arrivals and departures, and book follow-up appointments using IPMs software.
- Register new patients, book appointments, and enter insurance details on IPMs.
- Maintain accurate data entry and ensure number accuracy.
- Anticipate workload and prepare accordingly.
- Complete billing forms and process invoices.
- Maintain petty cash records and reconcile petty cash.
- Build and maintain good relationships with external parties linked to the clinic.
