The Maintenance Manager is responsible for the efficient management, maintenance, compliance, and operational performance of a portfolio of serviced and managed office buildings across Central London. The role ensures that all properties are safe, fully operational, compliant with statutory requirements, and maintained to a high standard that supports exceptional customer experience and occupancy retention.
The successful candidate will oversee planned preventative maintenance (PPM), reactive maintenance, contractor management, building compliance, refurbishment projects, and facilities-related budgets across the portfolio.
Key Responsibilities- Building Operations & Maintenance
- Manage the day-to-day maintenance operations across multiple office buildings.
- Ensure all building fabric, plant, equipment, and systems are maintained to a high standard.
- Oversee reactive maintenance requests and ensure timely resolution in accordance with service level agreements.
- Develop and manage planned preventative maintenance schedules.
- Monitor building performance and identify opportunities for operational improvements and cost savings.
- Conduct regular site inspections and condition assessments.
- Compliance & Health & Safety
- Ensure full compliance with all statutory and regulatory requirements.
- Manage and maintain records relating to:
- Fire safety systems
- Electrical testing (EICR)
- HVAC compliance
- Lift inspections
- Gas safety
- Health & Safety audits
- Support the implementation of risk assessments and safe systems of work.
- Ensure contractors comply with company and legal health and safety requirements.
- Procure, appoint, and manage maintenance contractors and specialist service providers.
- Monitor contractor performance against agreed KPIs and SLAs.
- Review quotations and negotiate costs to achieve value for money.
- Ensure contractors provide appropriate RAMS, certifications, and insurance documentation.
- Manage contractor attendance and quality assurance across all sites.
- Facilities & Customer Experience
- Work closely with Community, Operations, and Building Management teams to minimise disruption to occupiers.
- Ensure maintenance activities are delivered with a customer-focused approach.
- Respond to escalated building issues affecting tenant operations.
- Support building events, moves, fit-outs, and occupier changes where required.
- Manage minor works, refurbishment projects, office reconfigurations, and lifecycle replacement programmes.
- Coordinate contractors, schedules, budgets, and stakeholder communications.
- Ensure projects are delivered safely, on time, and within budget.
- Support acquisitions, mobilisations, and new building openings.
- Budget Management
- Prepare annual maintenance budgets.
- Approve invoices and manage purchase orders.
- Identify opportunities to reduce operating costs through improved procurement and energy efficiency initiatives.
