We are seeking a proactive, commercially minded and highly organised Administration, Marketing & Sales Coordinator to join our growing commercial real estate business. This is a varied and fast-paced role. You will play a key role in supporting the day-to-day running of our workspace portfolio whilst helping drive occupancy, client retention and new business growth.
The successful candidate will work closely with leadership, sales and operations teams, contributing to customer experience, business development initiatives, marketing campaigns and internal administration. This role offers an excellent opportunity to develop within a growing commercial property business, with a clear pathway toward Sales Executive, Business Development or Commercial Management progression.
Key Responsibilities- Administration & Operations
- Supporting the daily operations of serviced office and workspace locations
- Assisting with building enquiries, facilities coordination and supplier communication
- Managing inbound calls, emails and general office correspondence
- Maintaining internal systems, records, databases and reporting documents
- Preparing contracts, client documentation, onboarding paperwork and administrative packs
- Updating CRM systems, occupancy records and commercial reporting data
- Supporting finance administration including invoicing support and payment tracking
- Coordinating meeting room bookings, workspace logistics and hospitality arrangements
- Supporting internal projects, process improvements and operational compliance
- General administrative support across the wider business
- Marketing Responsibilities
- Updating company website content, listings and promotional materials
- Managing marketing campaigns, email communications and client updates
- Supporting social media management and brand visibility initiatives
- Creating brochures, presentations, newsletters and marketing collateral
- Assisting with event coordination, networking events and industry engagement
- Monitoring marketing performance metrics and reporting outcomes
- Supporting lead generation campaigns alongside sales activity
- Managing inbound sales enquiries via phone, email and website channels
- Qualifying prospective clients and identifying workspace requirements
- Booking and coordinating office viewings and client tours
- Preparing proposals, pricing information and workspace presentations
- Supporting the sales pipeline through CRM updates, follow-ups and lead management
- Conducting outbound prospecting and business development outreach where appropriate
- Building relationships with prospective tenants, brokers and referral partners
- Assisting in negotiating workspace solutions and occupancy opportunities
- Supporting client retention initiatives, renewals and upselling opportunities
- Tracking sales KPIs, occupancy performance and conversion metrics
- Collaborating with senior management on revenue growth strategies
- Previous experience in administration, sales support, marketing, hospitality, property, serviced offices or commercial environments desirable
- Strong organisational and multitasking abilities
- Confident communication skills, both written and verbal
- Commercial awareness with an interest in sales, business development or real estate
- Strong customer service and relationship-building skills
- Comfortable using CRM systems, Microsoft Office and digital marketing tools
- Self-motivated, proactive and able to work independently
- Positive, professional and solutions-focused mindset
