Leading Marketing Agency in London is looking for a strong PA with skills in email and diary management, primarily supporting Directors, along with office administration and management. A background in a B2B agency would be advantageous.

This role is hybrid (3 days in the office / 2 days at home) and involves working in a fast-growing, young, and energetic business with a collaborative culture across teams including Strategy, Marketing & Communications, Business Development, and Data & CRM.

A Snapshot of the Role:

  • Executive support to the CEO – email management, diary management, travel management
  • Team travel bookings
  • Organising team events and team nights
  • Organising summer parties and Christmas parties
  • IT set-up and ordering new laptops
  • IT support for the business including managing Office 365 and Google accounts
  • Manage office maintenance and day-to-day issues
  • Manage relationship with office cleaner
  • Answer the phone and meet and greet visitors
  • Manage the hiring of office space to external guests
  • Arrange birthday cakes and cards for team members
  • Recruitment support – scheduling interviews and meeting room bookings
  • General data entry, typing, and presentation creation
  • Scheduling team training sessions and monthly internal client meetings
  • Proposal creation and marketing support to the Marketing Director
  • Update the monthly target board
  • Preparing contracts and kick-off emails for new clients
  • Meeting minutes and follow-ups
  • Managing team requirements and preparing documents
  • Ordering Amazon and office supplies
  • Sainsbury’s and bar ordering

Experience:

  • 2 years+ in an Office Management/PA/team support role
  • Background in Agency, B2B, or Marketing is a big plus
  • Must be able to work in London 3 days a week
  • Organised, personable, and keen to be at the heart of the business
