The Office Manager and PA will be responsible for ensuring the smooth operation of the office, managing supplies, organising team events, scheduling meetings, booking travel, and providing comprehensive PA support to the CEO and MD.
This role requires exceptional organisational skills, attention to detail, and the ability to multitask effectively in a fast-paced setting.
Key Responsibilities- Personal Assistant Duties
- Provide comprehensive PA support to the CEO and MD, including managing calendars, emails, travel and correspondence.
- Handle confidential information with discretion and professionalism.
- Assist with personal tasks and errands as needed.
- Work at ease across time zones when the CEO and MD are travelling, ensuring they have everything they need for their days in their respective time zones before logging off in the UK.
- Office Management
- Oversee day-to-day office operations to ensure efficiency and productivity.
- Manage office supplies inventory and place orders as needed.
- Coordinate maintenance and repairs for office equipment and facilities.
- Implement and maintain office policies and procedures.
- Serve as the primary point of contact for office-related inquiries.
- Team Support
- Organise and coordinate team events, including meetings, workshops, socials, summer parties and Christmas parties.
- Assist with onboarding new employees and ensuring they have the necessary resources and IT set-up.
- Work with their IT management firm to troubleshoot IT issues within the team and ensure they are resolved in a timely manner.
- Facilitate communication and collaboration among team members.
- Meeting and Travel Coordination
- Schedule and manage appointments, meetings, and conference calls for the CEO and MD.
- Arrange travel accommodations, including flights, hotels, and transportation.
- Prepare itineraries and ensure all travel arrangements are confirmed.
- Administrative Support
- Prepare and edit documents, reports, and presentations.
- Conduct research and compile data for various projects.
- Manage filing systems and ensure documents are organised and accessible.
- Proven experience as an Office Manager, PA/EA or similar role.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- Comfortable with technology and using a range of business tools and platforms.
- Ability to work independently and as part of a team.
- High level of discretion and professionalism.
- Proficiency in Microsoft Office Suite, Xero, Navan and Monday.com highly desired.
- Experience in a B2B marketing agency or fast-growing business.
- Familiarity with project management tools and software.
- Strong problem-solving skills and ability to adapt to changing priorities.
