The Job

This is a fantastic opportunity to take ownership of the smooth and efficient running of a busy Belfast estate agency office.

Working closely with senior management and supporting the wider team, you will oversee day-to-day operations, monitor performance against KPIs, track and manage incoming leads, and ensure the team is focused on delivering business objectives.

The Role

  • Managing the day-to-day operations and smooth running of the Belfast office
  • Tracking incoming leads and ensuring they are followed up promptly and effectively
  • Monitoring staff performance against agreed KPIs and business targets
  • Supporting the team to achieve sales, lettings, revenue, and customer service objectives
  • Producing and reviewing performance reports to identify trends, opportunities, and areas for improvement
  • Ensuring staff are meeting required activity levels and maintaining high standards of customer service
  • Managing workflows and allocating tasks to ensure business priorities are met
  • Supporting the implementation of processes and procedures to improve operational efficiency
  • Identifying opportunities to increase lead conversion, business development, and overall office performance
  • Supporting recruitment, onboarding, training, and ongoing development of office staff where required
  • Holding regular team meetings and performance discussions
  • Managing office resources, facilities, and general administration
  • Dealing with escalated customer queries and resolving issues professionally and efficiently
  • Liaising with senior management to ensure operational activity is aligned with wider business needs
  • Ensuring the office operates in line with company policies, procedures, and regulatory requirements
  • Maintaining accurate records and ensuring all systems are kept fully up to date
  • The Person
  • Previous experience in an
  • Office Manager, Operations Manager, or similar senior operational role is essential
  • Experience within the property or estate agency sector would be advantageous, but is not essential
  • Strong commercial awareness with an understanding of KPIs, targets, lead management, and overall business performance
  • Proven experience managing or overseeing teams, with the confidence to motivate staff and hold individuals accountable for performance
  • Excellent organisational skills with the ability to manage competing priorities and respond effectively to changing business needs
  • Strong analytical and reporting skills, with the ability to monitor performance, identify trends, and implement improvements
  • Excellent written and verbal communication skills, with the confidence to communicate effectively at all levels
  • Strong customer service skills with the ability to manage escalated queries and resolve issues professionally
  • Proficient in Microsoft Office and comfortable working with CRM and business management systems
