Honeycomb is thrilled to be partnering with a prestigious and well-established legal firm in the search for an experienced Legal PA to join their busy Belfast team.
This position sits within a well-established Real Estate team, that works across all stages of the property lifecycle. The team covers a wide range of areas, including planning, environmental matters, real estate finance, and property disputes. They have experience in sectors such as construction, development, energy, infrastructure, hotels and leisure, investment, landlord and tenant matters, and real estate tax.
Key Responsibilities:- Diary and meeting management: Scheduling appointments, coordinating meetings, and handling logistics such as refreshments and conference calls.
- File and email management: Opening and closing files, maintaining accurate electronic records, managing inboxes, and ensuring prompt attention to urgent communications.
- Client interaction: Acting as a point of contact for clients, handling messages, and dealing with basic queries professionally.
- Team support: Collaborating with other secretaries to deliver seamless support, including holiday and sickness cover.
- Billing and finance: Assisting with financial tasks such as generating WIP and debt reports, and supporting the billing process.
- Document and correspondence handling: Managing legal documents and correspondence from creation to delivery, liaising with Document Specialists when needed.
- Compliance and onboarding: Preparing client onboarding documents, including engagement letters, conflict checks, and AML paperwork.
- CRM and business development: Maintaining contact databases (InterAction), supporting BD efforts, and assisting with marketing materials and event coordination.
- Travel and logistics: Arranging travel and producing supporting materials as required.
- Searches and portals: Ordering and managing searches via TM Group and Land Registry Portal.
- General: Willingness to take on ad hoc tasks and work flexibly, including outside of normal hours during busy periods.

- Hybrid 3 days in the office and 2 days working from home

- Strong diary management, organisational, and prioritisation skills
- Excellent communication skills with the ability to build strong client and internal relationships
- Works well collaboratively as part of a team
- Fast and accurate typist (minimum 65 words per minute)
- Skilled in producing high-quality legal documents
- Professional telephone manner with accurate message-taking and follow-up
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook - Microsoft 365)
- Experience using document or case management systems (e.g. iManage)
- Familiarity with legal finance systems (e.g. time recording and billing tools)
- Experience with Client Relationship Management systems (e.g. InterAction)
