Our client is a well-established public services organisation based in Belfast city centre, providing essential support and services to the local community.

The Role
Our client is seeking a professional and personable Receptionist to join their team on a part-time basis, working 2 days per week (Monday and Thursday). As the first point of contact for visitors, callers, and stakeholders, the successful candidate will play a key role in creating a positive experience for everyone interacting with the organisation. This position requires excellent communication skills, a professional manner, and previous front-of-house experience.

Key Responsibilities

  • Reception & Customer Service
    • Welcome visitors and provide a professional front-of-house service
    • Manage the reception area, ensuring it remains organised and presentable
    • Answer and direct incoming telephone calls promptly and professionally
    • Respond to general enquiries and provide accurate information where appropriate
    • Manage visitor sign-in procedures and maintain visitor records
  • Administrative Support
    • Handle incoming and outgoing post and deliveries
    • Maintain accurate records and filing systems
    • Schedule meeting rooms and support meeting arrangements
    • Assist with document preparation, scanning, photocopying, and filing
    • Provide general administrative support to departments as required
  • Office Support
    • Monitor office supplies and arrange replenishment when necessary
    • Support the smooth day-to-day operation of the office environment
    • Assist with coordinating refreshments and room setup for meetings and events
    • Ensure confidentiality when handling sensitive information

The Person
Essential Criteria

  • Previous experience in a front-of-house, receptionist, or customer-facing role
  • Excellent communication and interpersonal skills
  • Professional and welcoming manner
  • Strong organisational skills and attention to detail
  • Good IT skills, including Microsoft Word, Outlook, and Excel
  • Ability to manage multiple tasks and prioritise workload effectively
  • Reliable, punctual, and able to work independently
