The Role

Reporting to the Senior Administrator, the Office Administrator & Receptionist will provide high-quality administrative support across a number of specialist services. This is a varied role requiring excellent organisational skills, attention to detail and the ability to handle sensitive information with professionalism and discretion.

Key responsibilities include:

  • Providing a professional, welcoming reception service for service users and visitors.
  • Processing referrals accurately and efficiently, ensuring records are maintained to a high standard.
  • Responding to enquiries from service users, professionals and external agencies in a timely and sensitive manner.
  • Maintaining confidential client records in line with organisational policies and relevant legislation.
  • Updating and maintaining databases and management information systems.
  • Producing reports and performance information to support service delivery and reporting requirements.
  • Preparing documentation for meetings, arranging appointments and coordinating administrative activities.
  • Taking accurate minutes and providing secretarial support to managers and service teams.
  • Supporting the smooth day-to-day operation of multiple services while maintaining excellent customer service standards.

The Person

Essential Criteria

  • Previous experience in an administrative role within a busy office environment.
  • Experience providing excellent customer service and responding to enquiries from a range of stakeholders.
  • Strong IT skills, including Microsoft Office and experience using databases or information management systems.
  • Experience maintaining confidential and sensitive records with a high level of accuracy.
  • Experience preparing meeting documentation and taking accurate minutes.
  • Excellent organisational skills with the ability to prioritise workloads and meet deadlines.
  • Strong written and verbal communication skills.
  • Ability to work independently while contributing effectively as part of a team.

Desirable Criteria

  • Experience working within the charity, healthcare or public sector.
  • Experience supporting client referral or case management processes.
  • Experience producing reports or management information.
