Our client is a well-established public services organisation based in Belfast city centre, providing essential support and services to the local community.

The Role
Our client is seeking a professional and personable Receptionist to join their team on a part-time basis, working 2 days per week (Monday and Thursday). As the first point of contact for visitors, callers, and stakeholders, the successful candidate will play a key role in creating a positive experience for everyone interacting with the organisation. This position requires excellent communication skills, a professional manner, and previous front-of-house experience.

Key Responsibilities

  • Reception & Customer Service
    Welcome visitors and provide a professional front-of-house service. Manage the reception area, ensuring it remains organised and presentable. Answer and direct incoming telephone calls promptly and professionally. Respond to general enquiries and provide accurate information where appropriate. Manage visitor sign-in procedures and maintain visitor records.
  • Administrative Support
    Handle incoming and outgoing post and deliveries. Maintain accurate records and filing systems. Schedule meeting rooms and support meeting arrangements. Assist with document preparation, scanning, photocopying, and filing. Provide general administrative support to departments as required.
  • Office Support
    Monitor office supplies and arrange replenishment when necessary. Support the smooth day-to-day operation of the office environment. Assist with coordinating refreshments and room setup for meetings and events. Ensure confidentiality when handling sensitive information.

The Person
Essential Criteria
Previous experience in a front-of-house, receptionist, or customer-facing role. Excellent communication and interpersonal skills. Professional and welcoming manner. Strong organisational skills and attention to detail. Good IT skills, including Microsoft Word, Outlook, and Excel. Ability to manage multiple tasks and prioritise workload effectively. Reliable, punctual, and able to work independently.
