The Role

We are currently recruiting for a Project Administrator to join a small and collaborative team. The successful candidate will provide key administrative and operational support, helping to ensure the smooth delivery of projects, events, communications and member engagement activities. The role will involve:

  • Acting as a key point of contact for members, speakers and stakeholders.
  • Providing administrative support to senior colleagues, including drafting and proofreading documents.
  • Managing diaries and arranging travel.
  • Monitoring income and expenditure across project and programme budgets.
  • Preparing budget reports and liaising with financial support services.
  • Processing invoices and project funding payments.
  • Maintaining accurate membership databases and records in line with GDPR requirements.
  • Providing information, guidance and signposting to members and stakeholders.
  • Coordinating routine member engagement and communications.
  • Creating presentations and communications materials using PowerPoint and Canva.
  • Supporting website content updates and social media activity.
  • Organising events and activities, including travel, catering, room bookings and logistics.
  • Liaising with speakers and contributors to ensure the smooth delivery of events.
  • Preparing and distributing event information, delegate packs, joining instructions and presentations.
  • Supporting the evaluation of events, networking activities and training.
  • Managing organisational records and information through SharePoint.
  • Developing effective information-sharing systems with colleagues.
  • Supporting procurement and supplier arrangements, ensuring value for money.
  • Providing a friendly and professional welcome to members and stakeholders attending events.
  • Undertaking other duties as required to support the effective delivery of the organisation's work.

The Person

Essential Criteria

  • Excellent customer service skills with the ability to provide effective information and support to members and stakeholders.
  • Strong organisational and time management skills, with the ability to manage multiple priorities and meet deadlines.
  • Ability to work flexibly and effectively as part of a small team.
  • Strong problem-solving skills with a creative and proactive approach.
  • Ability to work under pressure and adapt to changing priorities.
  • Excellent written, verbal and presentation skills.
  • Proficient in Microsoft Office, including Outlook, Teams, Word, Excel and PowerPoint.
  • Knowledge and experience of using SharePoint.
  • Ability to demonstrate a professional, values-led approach when working with members, colleagues and external stakeholders.

Package & Benefits

  • Salary: £26,000 pro rata to 26 hours per week (£18,027)
  • Hours: 26 hours per week.
  • Contract: Permanent.
  • Location: Belfast with hybrid working.
  • Pension: Employer contribution of 8.5% in year one, increasing thereafter.
  • Annual Leave: Pro rata from 25 days plus 13 statutory days.
