Honeycomb is delighted to be working with a large public sector organisation to recruit a Legal and Hearings Administrator. This role is based in Belfast City Centre and is offered on a temporary 6-month basis.

This is an exciting opportunity to join the organisation's Hearings team on a 6-month temporary basis. As a Legal and Hearings Administrator, you will work within a busy regulatory function, providing high-quality administrative support to committees, hearings officers, committee members, legal representatives and witnesses.

Key Responsibilities

  • Coordinate and provide high-quality administrative support for committees, pre-hearing reviews and fitness to practise hearings.
  • Plan and organise meetings and hearings, working with a range of internal and external stakeholders.
  • Prepare, upload and distribute confidential hearing papers and documentation, ensuring everything is accurate and delivered within required timescales.
  • Act as Witness Co-ordinator, providing clear information, guidance and support to witnesses throughout the hearing process.
  • Respond to witness queries, identify potential issues and ensure any risks or concerns are appropriately escalated.
  • Provide effective administrative support to hearings officers and committee members, helping hearings run smoothly and efficiently.
  • Maintain accurate and up-to-date electronic and paper records, filing systems, correspondence and audit trails.
  • Prepare professional written communications, including emails, letters, memos and file notes, often dealing with sensitive and confidential information.
  • Manage incoming and outgoing correspondence and respond to telephone enquiries, providing a professional and customer-focused service.
  • Provide committee clerking support when required, including assisting with the smooth running of meetings.
  • Coordinate practical arrangements such as meeting facilities, minutes, attendance records, travel, accommodation and catering.

The Person

The successful candidate will be an experienced administrator with excellent organisational skills, strong attention to detail and the ability to work effectively in a busy and regulated environment.

Essential Criteria

  • English Language and Mathematics GCSEs at Grade A-C, three A Levels or equivalent, and at least 18 months' relevant administrative experience; OR At least three years' relevant administrative experience within the past five years.
  • At least one year's experience using Microsoft Word, Excel and Outlook within a working environment.

In addition, you will be able to demonstrate:

  • Experience maintaining paper and electronic filing systems.
  • Experience working within a customer-focused environment.
  • Experience organising meetings involving internal and external participants.
  • Excellent organisational skills and a high level of accuracy and attention to detail.
  • The ability to manage competing priorities and work to tight deadlines.
  • Excellent written and verbal communication skills.
  • The ability to handle confidential and sensitive information with professionalism and discretion.
  • Experience within a legal, regulatory, governance, complaints, disciplinary, professional standards or similar environment would be particularly advantageous.
