The Office of Identity and Cultural Expression (OICE) is seeking to appoint an Executive Officer II (EOII) - Business Support and Events Officer to join the Corporate Support and Engagement Team. This is an exciting opportunity for a highly organised and motivated individual to contribute to the effective operation of the Office through the provision of comprehensive business support and the coordination of events and stakeholder engagement activities.
The successful candidate will play an important role in supporting organisational priorities through the delivery of high-quality administrative services, event coordination, information management, procurement support, and business operations.
Job PurposeThe Executive Officer II (EOII) Business Support and Events Officer will be responsible for providing comprehensive business support to the Office of Identity and Cultural Expression. The post holder will support the planning and delivery of events, maintain robust filing and information management systems, undertake procurement-related activities, develop promotional and operational materials for business use, coordinate diaries and meetings, and provide high quality administrative support.
Key ResponsibilitiesThe successful candidate will be responsible for:
- Assisting in the planning, coordination and delivery of Office events, stakeholder engagements, conferences, launches and meetings.
- Creating, maintaining and quality assuring electronic and manual filing systems and filing logs.
- Designing and creating professional materials for business use at events, including presentations, information packs and signage.
- Undertaking procurement-related activities and sourcing quotes for services and goods.
- Providing diary management support for senior staff and coordinating meetings.
- Providing comprehensive administrative support to the organisation.
Applicants must demonstrate:
- A minimum of 5 GCSEs (Grades A*-C), or equivalent, including English Language and Mathematics.
- At least two years' demonstrable experience gained within the last five years in an administrative or business support role including diary management.
- Demonstrable experience in planning and coordinating events.
- Demonstrable experience of filing systems and filing logs.
- Demonstrable experience in designing professional business materials.
- Demonstratable experience undertaking procurement activity and sourcing quotes.
Experience working in a public sector or regulated environment.
- Experience supporting senior management, including diary coordination and meeting management.
- Experience coordinating conferences, stakeholder engagement events, or public-facing activities.
- Proficiency in Microsoft Office 365 and electronic document management systems.
- Experience developing professional business materials, presentations, and briefing documents.
- Experience engaging with a diverse range of stakeholders and external suppliers.

Communicating and Influencing: Communicates clearly and professionally with colleagues, stakeholders and external suppliers. Produces high-quality written materials, presentations and business documentation. Builds and maintains positive working relationships to support effective engagement and event delivery.
Working Collaboratively: Works effectively as part of a team to support corporate objectives and deliver business outcomes. Provides responsive and flexible support across the Office as required. Develops productive relationships with internal and external stakeholders.
Delivering at Pace: Works accurately and efficiently in a busy environment, maintaining high standards of administrative support. Responds flexibly to changing priorities and emerging business needs. Demonstrates initiative and reliability in ensuring tasks and events are delivered successfully.
Digital and Administrative Capability: Demonstrates proficiency in standard office software and digital systems, including document management, presentations and record keeping. Uses technology effectively to support administration, communication and event coordination.
