The Northern Ireland Ambulance Service is seeking a highly organised, proactive, and motivated Band 4 Administrator to join our Corporate Services team. This is a key role supporting the smooth running of our Headquarters site and facilities, ensuring a safe, efficient, and welcoming environment for staff, visitors, and stakeholders. Key ResponsibilitiesIn this role, you will:
- Provide high-level administrative and site management support to the Corporate Manager, including organising work programmes and schemes.
- Act as a key contact for staff and visitors, offering advice and guidance on facilities and services.
- Monitor and manage facilities-related issues, ensuring timely resolution and appropriate escalation of risks.
- Administer key systems and processes to support the effective delivery of Corporate Services functions.
- Support the development of efficient office systems, maximising the use of technology.
- Assist with oversight of corporate contracts and services, including managed print, travel, catering, hospitality, waste management, security, and vending.
- Provide administrative support for Premises Management and Health & Safety, including preparing reports and performance data.
- Oversee a professional and efficient front-of-house/Reception service.
- Support the daily upkeep of the building, working with Porters and Estates to maintain a safe and high-quality environment.
- Ensure compliance with Trust policies and Fire Management procedures.
- Assist in preparing reports and briefing papers for governance and performance purposes.
Applicants must demonstrate that they meet the following criteria:
- 5 GCSEs (Grade A-C) or equivalent, including Mathematics and English (or higher qualification).
- AND EITHER: 2 A Levels (or equivalent/higher qualification) AND 1 year's relevant administrative experience.
- OR At least 2 years' relevant administrative experience.
- Strong organisational and administrative skills
- Excellent communication and interpersonal abilities
- Ability to manage multiple priorities in a busy environment.
- Proactive approach with attention to detail
- Good IT skills and confidence using systems and technology.
- Be part of a critical emergency service supporting communities across Northern Ireland
- Work in a supportive and collaborative team
