Role Purpose

To provide effective administrative and coordination support across the Building Safety and Property Compliance Service, ensuring statutory compliance records, certificates, inspection reports and performance information are accurate, complete and auditable. The role supports the delivery and monitoring of property safety programmes, works closely with residents, contractors and colleagues, and helps Homes in Somerset meet its regulatory obligations while keeping residents and their homes safe.

You will:

  • Provide administrative and co-ordination support across the Building Safety & Property Compliance Service, helping ensure Homes in Somerset maintains compliance with all statutory and regulatory obligations relating to property safety.
  • Support the management of compliance data, certification, contractor information and performance records, ensuring accurate and reliable compliance information is maintained across the organisation.
  • Assist with the administration of compliance programmes including fire safety, gas safety, electrical safety, asbestos management, water hygiene, lifts and other statutory inspection regimes, supporting the organisation's commitment to keeping residents safe and maintaining high levels of regulatory compliance.

Compliance Administration

  • Maintain records for statutory compliance programmes including:
    • Fire Risk Assessments (FRAs)
    • Fire doors
    • Emergency lighting
    • Fire alarms
    • Gas safety
    • Electrical safety (EICRs)
    • Asbestos management
    • Legionella risk assessments
    • Lifts and lifting equipment
    • Door entry systems
    • Lightning protection
    • Other compliance inspection programmes.
  • Ensure compliance certificates, inspection reports and supporting documentation are accurately recorded and filed.
  • Monitor programme dates and support the scheduling of inspections and servicing activities.
  • Track completion of remedial actions arising from compliance inspections and risk assessments.
  • Support the management of compliance action trackers and registers.
  • Assist with audit preparation and evidence gathering activities.
  • Maintain document control and version management for compliance records.

Data Management

  • Input, maintain and validate compliance data across housing management, asset management and compliance systems.
  • Investigate and resolve data discrepancies.
  • Reconcile compliance records against property and asset information.
  • Ensure information recorded is accurate, complete and auditable.
  • Assist with data improvement and data cleansing exercises.
  • Produce routine compliance reports and management information.

Contractor and Financial Administration

  • Arrange inspections, appointments and compliance-related visits.
  • Liaise with contractors regarding certificates, reports and outstanding information.
  • Monitor submission of statutory certification and reports.
  • Raise and track works orders where required.
  • Process invoices, goods receipting and associated administrative functions.
  • Support contract meetings through preparation of reports and documentation.

Customer and Resident Support

  • Act as a first point of contact for compliance-related enquiries.
  • Schedule appointments with residents, contractors and colleagues.
  • Support access arrangements for statutory inspections and safety checks.
  • Maintain records relating to access refusals and legal processes.
  • Assist in responding to customer enquiries, complaints and correspondence.
  • Signpost residents to appropriate services and teams where necessary.

Team Support

  • Provide administrative support to Compliance Officers, Building Safety Officers and Managers.
  • Prepare meeting notes, reports, letters and correspondence.
  • Support the organisation of meetings, audits and inspections.
  • Assist with maintaining team procedures, guidance notes and administrative processes.
  • Support wider service improvement initiatives and projects as required.
