What are we looking for?
- Ensure each event is effectively managed from pre-planning to beyond its completion.
- Positively approach sales opportunities in order to maximise revenue, including bedroom and restaurant reservations.
- Ensure every sales opportunity is realised and converted into a booking.
- Ensure the Events phones are covered at all times and make Reception aware if everyone is out of office.
- Stay informed of the goals and objectives of the Events team.
- Be aware of and strive to exceed the monthly sales targets and annual sales plan.
- Develop professional relationships with guests, members, potential members and external suppliers, acting as an ambassador of Home Grown at all times.
- Handle members and potential members in such a way that sales and profitability is maintained.
- Respond to client requests as soon as possible and preferably within 24 hours; if this is not possible for any reason, the client should be contacted with an update within 24 hours.
- Ensure that all menus and wine lists are up to date.
- Ensure effective diary management: follow up provisional bookings on a daily basis to make sure that all bookings in the diary are confirmed. If bookings are released, ensure that they are done so in a timely manner to free the space to potential opportunities.
- Ensure that each client is issued with a contract and the deposit schedule is adhered to.
- Liaise with clients to coordinate each private event in good time for the Function Sheet meeting in the preceding week. All details should be collated accurately on a function sheet ready for distribution.
- Order flowers, equipment, DJ, bands, entertainment or any other requests from nominated suppliers.
- Liaise with clients regarding any delivery and collection of event materials, communicating with the relevant team to ensure there are no mistakes.
- Liaise with the Events Operations team to ensure each event is run effectively and that all parties are aware of their responsibilities.
- Pass all details from the client, no matter how seemingly trivial or small, to the Events Operations team to ensure the smooth running of the event.
- Ensure all menus, place cards and table plans are completed one day prior to the event.
- Follow up all events to ascertain satisfaction levels.
