We are looking for an organised, proactive, and detail-focused Fleet Compliance & Training Administrator to join our Fleet, Compliance and Training Team. This is a varied and fast-paced role that plays a key part in ensuring our fleet, workshop equipment, facilities, and employee training remain fully compliant and operational across the business. This position is ideal for someone with strong administration skills who enjoys working across multiple areas of the business and thrives in a structured, compliance-driven environment.
The Role
As part of the Fleet, Compliance and Training Team, you will provide day-to-day administrative support across fleet compliance, health & safety, workshop facilities, supplier management, and employee training administration. You will help ensure vehicles, workshop equipment, systems, records, and employee training remain compliant with legal and company requirements while supporting managers, workshop teams, suppliers, and customers.
Key Responsibilities
- Business Compliance Administration
- Manage the business asset register and fleet management system
- Arrange statutory inspections and ensure any failed actions are completed
- Update compliance records and maintain accurate documentation
- Collate environmental and energy reporting data including CO2 emissions and waste records
- Monitor weekly H&S audits and elevate issues where required
- Raise orders and manage PPE, workwear, and H&S equipment requests
- Coordinate occupational health appointments
- Carry out Ross Road site health & safety administration checks
- Fleet Compliance Administration
- Add and validate new vehicles onto the fleet management system
- Maintain vehicle compliance documentation including V5s, MOTs, LOLERs, plating certificates and insurance records
- Monitor fleet KPIs and compliance alerts daily
- Produce vehicle taxation schedules and VOR reporting
- Manage traffic violation administration and recharges
- Support vehicle insurance administration and claims handling
- Coordinate vehicle maintenance approvals and records
- Customer & Supplier Administration
- Produce customer recharge reports and KPI reporting
- Support long-term hire customers with additional vehicle requests
- Raise fixed cost supplier orders and issue management reports
- Support supplier compliance and documentation management
- Workshop & Facilities Administration
- Deliver H&S inductions for new starters
- Ensure Ross Road office and workshop facilities remain organised and presentable
- Coordinate confidential waste collections and contractor visits
- Order stationery and office supplies across all sites
- Manage company pool vehicles
- Act as first point of contact for visitors and incoming enquiries
- Technical Training Administration
- Coordinate employee training bookings and records
- Arrange courses including CPC, First Aid, Product Training, Driver Assessments and H&S training
- Maintain briefing, policy and risk assessment records
- Monitor and chase overdue training requirements
- Support managers with training needs analysis and approvals

- Previous fleet administration experience
- Experience within the HGV or Commercial Vehicle sector
- Knowledge of Chevin, Fleetwave or similar fleet management systems
