This is a busy and varied Project Coordinator role working within a fast‑paced service and maintenance environment where organisation, communication, and keeping operations running smoothly are key. The successful Project Coordinator will support day‑to‑day project delivery, coordinate schedules and logistics, manage reporting, and act as a central point of communication between customers, operational teams, and service personnel. It’s an ideal position for someone who enjoys problem‑solving, planning, and keeping multiple moving parts under control.

Key Responsibilities

  • Coordinate the engineering team’s schedules, training records, equipment, and certifications
  • Arrange engineer travel, accommodation, time allocation, and time in lieu records
  • Plan and manage service and maintenance schedules in line with customer requirements
  • Develop and maintain maintenance reporting systems to improve visibility and accountability
  • Ensure actions and follow‑ups are completed within agreed deadlines
  • Support installation handovers and introductions between customers and maintenance teams
  • Manage shared project communications and vessel correspondence
  • Maintain issue logs using RAG reporting processes and drive issues through to completion
  • Build and communicate project plans with milestones and delivery expectations
  • Provide weekly project updates internally and externally, highlighting risks and solutions
  • Produce monthly customer reports including engineer activity summaries, usage analysis, and cost tracking
  • Maintain budget trackers following service visits and analyse KPI data to identify service improvements
  • Support continuous improvement initiatives across the division

Essential Skills & Experience

  • Previous experience working as a Project Coordinator, Service Coordinator, Operations Coordinator, or within a similar project support role
  • Strong planning, coordination, and reporting experience
  • Knowledge of project management processes or methodologies such as PRINCE2, Agile, or similar
  • Excellent communication and stakeholder management skills
  • Ability to coordinate multiple projects and priorities simultaneously
  • Strong analytical and problem‑solving skills
  • Good organisational and administrative ability
  • Comfortable working in a fast‑paced environment with changing priorities
  • Strong IT skills including reporting systems and data tracking
  • Ability to occasionally travel to warehouses, partners, and customer sites
  • Flexible approach to occasional out‑of‑hours requirements

Desirable Experience

  • Previous experience supporting technical or operational teams
  • Experience analysing KPI and customer service performance data
  • Budget tracking and cost analysis experience
