Job Title: Fleet Technical Maintenance Controller

Location: Northampton

Job Type: Permanent

Job Purpose – Fleet Technical Maintenance Controller

To ensure that the maintenance of the vehicles is managed professionally and pro-actively to maximise vehicle availability whist minimising maintenance spend.

Key Responsibilities

To undertake the role of Fleet Technical Maintenance Controller including but not limited to:

  • Training in use of company systems
  • Support for company employees in day-to-day tasks
  • Ensuring the Health and Safety and wellbeing of team members

To oversee management of maintenance providers:

  • Ensuring warranty periods are maximised or policy claims applied for
  • Negotiating with third party repair agents to ensure fair charges
  • Identifying issues with income, fixed costs, tax and the maintenance budget, highlight and resolve them to ensure accurate financials
  • Producing the monthly Budget Variance report for senior management
  • Sourcing the most competitive and cost-efficient parts and suppliers
  • Highlighting product issues to manufacturers ensuring safety and that any costs incurred are reimbursed by the manufacturer
  • Informing large cost repairs to senior management promptly and recommending and arranging remedial action
  • Arranging the most cost-efficient repair considering contractual obligations
  • Reporting monthly to senior management all spend by means of the Month End Report and Budget Variance and producing the Budget Variance report with any subsequent vehicle reports or supporting evidence.
  • Source new suppliers as and when required.
  • Negotiate and agree terms and SLA’S
  • Carry out Audits for quality and compliance and create action plans as necessary

Management of the Mobile Engineers including but not limited to;

  • Arranging on and off hire inspections for the hire fleet
  • Organising PDI’s for new vehicles being added to the fleet
  • Arranging parts inspections to ensure replacement was necessary
  • Keeping mobile engineers up to date with any technical bulletins that are released by manufacturers
  • Provide support and identify training needs for each engineer
  • Ensuring health and safety policies are upheld by each engineer

To manage use of the fleet management system by;

  • Ensuring accurate information and financial costs are entered
  • Any faults with on system are identified and a resolution proposed, actioned or escalated appropriately
  • To ensure KPI’s are accurate and followed up

To identify and organise the administration of all new vehicles including but not limited to:

  • Ensuring that a PDI has been carried out and the paperwork received
  • Ascertaining relevant legal and company documentation required for each vehicle
  • Creating the new vehicle on Fleetwave and ensuring that all data is accurately entered
  • Monitoring and chasing all registration documents and if required certificates of initial fitness, certificates of conformity and plating certificates
  • Liaising with the contracts and issuing original or copy documents as required
  • Creating the new vehicle file and informing the tyre contract provider of the tyre requirements

Qualifications and Experience

Must have one of the following:

  • Educated to A level or equivalent
  • Apprenticeship in the Automotive industry
  • HNC in Automotive Engineering and Science or equivalent
  • CPC in Road Haulage would be an advantage
