Role Accountabilities:
- To plan efficient & cost-effective vehicle scheduling & routing of collections to maximise utilisation.
- To plan efficient driver/operative resources for allocated areas.
- Complete all necessary paperwork for collections both in paper form and online.
- Hold position of CPC Holder on Regional O Licence with support from Depot Manager & Fleet Engineer.
- To work with Regional Administration to ensure smooth transport administration is delivered.
- Provide a high level of customer service to external & internal customers.
- Work with the other managers in the business to service their transport requirements.
- Ensure all training requirements for drivers are up to date.
- To follow and enact CSG Group H&S Policies.
- To plan all daily, weekly and monthly work for the allocated areas, ensuring the best efficiency at all times.
- Review the strategic position of the vehicles ensuring the highest efficiency is gained.
- Communicate with other CSG depots to ensure transport jobs are allocated in the most efficient and cost-effective way.
- Working with the Fleet Manager and Depot Manager, regularly review the fleet of vehicles used in the allocated area to ensure they are compliant and meet operational needs.
- Ensure Vehicle Standard Hours are inputted for each vehicle in Xeres, check & record reasons for VOR.
- Work towards a target of greater than 90% Vehicle Utilisation.
- Calculate costs of collections to provide quotes for work.
- Monitor fuel use and costs to ensure quotes are valid.
- Communicate expectations and responsibilities to drivers.
- In conjunction with the Depot Manager, ensure that the correct level of people resources is maintained to deliver service levels.
- Ensure all drivers complete daily worksheets to include hours for driving and other duties.
- Ensure all drivers hours are checked against verilocation and confirm drivers’ hours on Xeres.
- Ensure driver holiday is managed efficiently to obtain minimum driver/operative resources at all times so there is no break in service levels.
- Monitor wage costs and overtime requirements.
- Creation of Work Tickets & Consignment Notes in Xeres / PDA / Salesforce.
- Follow ticket confirmation process on Xeres & ensure data in Vehicle Performance Reports is accurate.
- Ensure full tacho and logbook compliance is adhered to.
- Where applicable, all tachograph discs are collected at the end of the week.
- Ensure that vehicles are serviced on the correct date and that all tank tests, MOT’s and tachograph calibration checks are pre booked so that the vehicles can stay working to full capacity.
- Ensure daily & weekly checks are carried out e.g. wheel torques, and respond to any defect reports.
- Scheduling of collections considering Group transport availability and location.
- Allocation of collection dates to Opportunities awaiting collection dates.
- Information provided for accruals at month end.
- Maintain a flexible approach to scheduling work.
- Willingness to reschedule collections at short notice.
- Be on the depot call out rota and respond to emergency call outs.
- Provide collection dates & quotes with the timeframe in the Customer.
- Work with other depots to support collection requirements.
- Maintain the skills chart.
- Make time in the schedule for driver training.
- Maintain Vehicle History Folders to include: A copy of the current MOT certificate, Pre-delivery inspection reports (where applicable), Wheel and tyre maintenance documents, Copies of registration documents (including plating certificates), Copies of PG9 and PGDN35 certificates, Servicing and inspection documents with schedule at front (complete with brake and emission readings and job cards).
The Candidate:
- To follow and enact CSG Group H&S Policies.
- Attend jobs at customer sites periodically to assess driver compliance with RAMS and other safety systems.
- Carry out Toolbox Talks & Drivers' meetings.
- Ensure that monthly H&S reports are submitted accurately and on time.
- Investigate all incidents & accidents.
- Ensure personal responsibilities under the Groups' H&S and environmental policy are understood.
- Ensure compliance with requirements under ADR & Dangerous Goods legislation.
- Holder of CPC Qualification or willingness to gain this.
- Full UK driving licence.
