This is a hybrid role within the Latus Group combining Occupational Health scheduling with clinic reception support. The primary focus of the role is to ensure efficient and effective booking of Occupational Health services, while also providing front‑of‑house support during busy clinic periods. The postholder will be based in Hull, working closely with the wider Operations and Clinical teams, and may support reception services at both Hull and Immingham clinics, ensuring a professional and welcoming experience for all visitors. The role is designed to provide flexibility across the business; the successful candidate will be fully trained across scheduling functions and will act as additional support to both booking and clinic teams during peak periods.
Key Responsibilities
- Contact existing clients via telephone and email to arrange Occupational Health appointments (clinic, telephone, and video).
- Identify the most appropriate clinical resource to fulfil appointments, ensuring efficiency and margin awareness.
- Manage and maintain diary capacity across services.
- Liaise with associates to resource appointments where required, including raising Purchase Orders.
- Coordinate with logistics to arrange travel and accommodation where necessary.
- Work towards KPIs relating to contact volume and bookings completed.
- Carry out general administrative duties to support service delivery.
- Ensure all activities are compliant with GDPR and company confidentiality standards.
- Work collaboratively within the team to meet both individual and team targets.
- Deliver a high standard of customer service at all times.
Clinic Reception Support (as required)
- Provide front‑of‑house support at Hull and Immingham clinics during busy periods (e.g. doctor‑led or high‑volume technician clinics).
- Greet clients and employees in a professional and friendly manner.
- Prepare clinic files and documentation ahead of appointments.
- Distribute certificates and relevant paperwork following appointments.
- Support incoming calls and emails where required.
- Assist with general clinic coordination to ensure smooth day‑to‑day operations.
Working Pattern & Flexibility
- Primary base: Hull.
- Travel required to Immingham clinic as needed.
- Reception support will be required based on clinic demand and business needs.
- Full support will be provided by the wider team when covering across functions.
Skills and Experience Required
- Previous experience in a customer‑focused or administrative role.
- Strong organisational skills with the ability to prioritise workload effectively.
- Confident and professional communication skills (telephone and email).
