Travel and Work Location

This is a hybrid role requiring flexibility to work across multiple GRS office locations in the UK. While the majority of work will be based in the Midlands, the Business Analyst will need to travel regularly to other sites to engage with stakeholders, facilitate workshops, and support project delivery. Travel will be planned in advance, and expenses will be reimbursed in line with company policy.

THE ROLE

The Business Analyst acts as a critical link between business stakeholders and technology teams, ensuring requirements are captured, analysed, and delivered effectively. This role supports projects that drive operational efficiency and strategic outcomes across the GRS Group. This role requires deep expertise in finance operations, including accounts payable, credit control, and shared services. The successful candidate will analyse and optimise processes such as invoice management, payment runs, and credit risk controls. They will work closely with our Shared Services and Finance teams to identify automation opportunities, ensure compliance with regulatory and audit standards, and support ERP or finance system enhancements. Strong knowledge of financial data structures and experience in implementing process improvements that deliver measurable cost and efficiency gains is essential. The role will also be responsible for training, coaching and developing a Project Support Coordinator, building their capability and confidence to progress into a Business Analyst role (with a particular focus on finance-focused business analysis and requirements management).

KEY RESPONSIBILITIES

  • Requirements Gathering and Analysis: Organise and lead structured workshops with stakeholders to capture business needs, objectives, and priorities. Use best-practice methodologies to elicit functional and non-functional requirements, ensuring clarity and completeness. Analyse existing processes, identify inefficiencies, and propose improvements aligned with strategic goals. Document requirements using industry-standard techniques (e.g., user stories, use cases, process flows) to ensure traceability and alignment with delivery teams.
  • Solution Design and Delivery Support: Collaborate with internal IT teams and third-party vendors to validate solution designs against business requirements. Provide ongoing clarification during development and testing phases to resolve ambiguities promptly. Support creation of test cases and ensure alignment between requirements and UAT scenarios.
  • Service Design: Apply service design principles to understand end‑to‑end user journeys across GRS, ensuring solutions are shaped around user needs, operational feasibility, and business value. Facilitate cross‑functional workshops to map current and future‑state service blueprints, identifying pain points, dependencies and improvement opportunities. Translate service insights into prioritised requirements that inform system design and business process improvements, ensuring alignment with strategic goals. Work with technology partners to ensure digital and process solutions reflect agreed service standards and support consistent customer and colleague experiences. Support prototyping, piloting and iterative testing of service improvements by gathering feedback, analysing impacts and recommending refinements prior to wider rollout. Ensure service design outputs integrate with GRS governance expectations, documented standards, and compliance requirements.
  • Stakeholder Engagement and Communication: Build strong relationships with senior stakeholders across diverse business units. Influence and negotiate to resolve conflicting priorities and ensure alignment with strategic objectives. Prepare and deliver high-quality documentation, reports, and presentations for stakeholders at all levels. Identify opportunities to enhance business analysis practices and contribute to capability development within the organisation. Share lessons learned and best practices to improve organisational maturity in business analysis.
  • Governance and Compliance: Ensure all requirements and solutions comply with GRS standards, data protection regulations, and quality assurance frameworks. Maintain version control and audit trails for all documentation and approvals.

KNOWLEDGE, TRAINING, QUALIFICATIONS AND EXPERIENCE REQUIRED TO DO THE JOB

Essential Knowledge and Experience: Demonstrable experience in business analysis within Agile and Waterfall delivery environments. Strong background in process engineering and requirements documentation. Experience working in complex business and technology delivery environments. Proven ability to lead workshops and facilitate discussions with senior stakeholders. Strong analytical skills with the ability to translate business needs into technical specifications. Excellent communication skills, capable of explaining complex IT concepts to non-technical audiences.

Technical Skills: Proficiency in MS Office tools, including Visio for process mapping. Familiarity with CRM platforms, ERP systems, and integration projects.

Qualifications: BCS Business Analysis International Diploma (or equivalent) desirable. Project management or Agile certifications (e.g., Scrum, Prince2) advantageous.

Personal Attributes: Ability to manage multiple priorities and deliver under pressure. Strong stakeholder management and influencing skills. Commercial awareness and a proactive, solution-oriented mindset.
