Currently recruiting a Fleet Coordinator who will be responsible for overseeing and managing a company’s vehicles and drivers. Their duties include ensuring vehicles are safe, well-maintained, properly scheduled, and used efficiently. They also monitor fuel costs, arrange repairs, manage driver performance, and ensure the fleet follows legal and safety requirements.
Position: The Fleet Coordinator will be responsible for ensuring vehicles are available, fit for purpose, compliant, and efficiently utilised. The role covers vehicle allocation, maintenance, servicing, inspections, repairs, and replacement planning, together with driver onboarding, licence compliance, training, performance, and wellbeing. The role has significant responsibility for transport compliance, risk management, and driver safety, working closely with SHEQ on fleet safety policies.
Day to day, you would be responsible for:
- Monitoring daily fleet availability and ensuring vehicles are fit, safe, and available for operational requirements, promoting safe driving practices and maintaining a strong driver safety culture.
- Managing vehicle allocation, utilisation, and availability across the business.
- Coordinating vehicle servicing, maintenance, inspections, repairs, and MOT requirements.
- Responding to vehicle breakdowns, defects, and operational issues, minimising vehicle downtime along with reporting and follow-up of vehicle incidents and accidents, ensuring appropriate actions are completed.
- Maintaining accurate fleet, vehicle, and driver records and ensuring audit trails are up to date.
- Conducting regular driver licence checks and managing driver compliance requirements.
- Managing driver onboarding, induction, training, and ongoing development such as awareness of changes to transport legislation, regulations, industry guidance, and best practice.
- Monitoring fleet performance indicators, including availability, utilisation, fuel efficiency, maintenance compliance, downtime, driver infringements, accident rates, and CO₂ emissions.
- Monitoring fleet expenditure and identifying opportunities for efficiency and cost savings.
Requirements:
- Proven experience in fleet management or transport operations.
- Strong knowledge of fleet legislation, transport regulations, and compliance requirements.
- Good understanding of MOTs, vehicle inspections, taxation, servicing, and maintenance requirements.
- Knowledge of driver licensing requirements and driver compliance.
- Understanding of the Highway Code and relevant transport legislation and guidance.
- Experience managing vehicle maintenance, repairs, and managing external suppliers, contractors, and service providers to help minimise vehicle downtime.
- Experience using fleet management, telematics, or vehicle tracking systems.
- Awareness of environmental considerations, including electric vehicles, alternative fuels, and carbon reduction.
