Are you an experienced Executive Personal Assistant who thrives in a fast paced environment and enjoys being at the heart of business operations? We're looking for a highly organised, proactive, and professional Executive Personal Assistant to join us in our HQ in Atlantic Quay, Glasgow and provide dedicated support to our CEO, COO and CFO as part of a wider Leadership Team. This is an exciting opportunity to play a key role within the business, working closely with senior leaders to ensure the smooth running of daily operations while helping to deliver impactful company events and initiatives.
What You'll Be Doing
- Managing complex and ever changing diaries for senior leaders, ensuring their time is organised effectively
- Overseeing inboxes, responding to routine correspondence, and identifying urgent matters requiring attention
- Coordinating meetings, preparing agendas, presentations, reports, and supporting materials
- Taking accurate meeting minutes and ensuring follow-up actions are tracked and completed
- Arranging UK and international business travel, including flights, accommodation, transportation, and itineraries
- Supporting the preparation of board papers, reports, and leadership documentation
- Drafting professional communications on behalf of members of the Leadership Team
- Building strong relationships with clients, suppliers, and external stakeholders
- Anticipating the needs of senior leaders and responding effectively to changing priorities
- Leading and supporting a team of Personal Assistants, providing guidance, coaching, and development
- Assisting with the planning and delivery of company events, conferences, and marketing initiatives that showcase our brand
- Attending key events when required and helping ensure their successful execution.
What We're Looking For
- Significant experience supporting senior executives in an Executive Assistant or Personal Assistant capacity
- Strong diary, inbox, and stakeholder management experience
- Previous experience coordinating business travel and executive meetings
- Experience preparing board papers, presentations, and reports
- A proven ability to organise corporate events and business functions
- Excellent written and verbal communication skills
- Advanced Microsoft Office skills, including Outlook, Word, PowerPoint, and Excel
- Outstanding organisational and time management abilities
- A proactive, solution-focused approach and the ability to adapt in a fast-moving environment
- Experience managing, mentoring, or supporting junior team members would be advantageous
- Degree-level education or equivalent professional experience.
