The Executive Assistant will operate as a standalone, highly trusted partner to the CEO and COO, playing a pivotal role in supporting the leadership of the museum and ensuring the smooth and effective running of the executive function.

Key Accountabilities

  • Run the CEO’s diary, anticipate needs, prevent clashes, protecting focus time and keeping priorities moving.
  • Provide seamless EA and secretarial support; manage inboxes and correspondence, manage multiple diaries, schedule/attend/minute meetings, arrange travel and accommodation and process expenses.
  • Be the first point of contact for the CEO’s office, handling calls and face to face enquiries with confidence and discretion.
  • Coordinate and collate papers and reports for the Board of Trustee and Committee meetings, record minutes, and track actions to completion.
  • Produce correspondence and materials that are accurate and meet deadlines.
  • Work collaboratively with the wider Leadership Team, keeping admin running smoothly and priorities on track.
  • Keep the CEO and wider office operating at its best, manage resources, streamline processes and maintain a professional and efficient environment.
  • Deliver premium events, coordinate logistics, guest lists and budgets from start to finish.

What you'll bring

  • Demonstrable background of providing high level EA support to senior leadership.
  • PA/EA specific qualification or qualification in Business Administration or Admin Management is desirable.
  • Highly professional with sound judgement, strong common sense and the confidence to use initiative.
  • Exceptional spoken and written English.
  • First class organisation and time management, with sharp attention to detail and accuracy.
  • Exceptional communicator, able to build trust and collaborate confidently with a wide range of stakeholders.
  • Advanced proficiency in Microsoft 365, notably Outlook and Excel.
  • Calm and professional, especially when working to tight deadlines.
  • Tact and discretion when handling sensitive and confidential information.

Please note due to the nature of the role home working and hybrid working will not be considered. Interviews to be held on 17th June 2026.
