Job function

We are seeking a highly organised and proactive Engineering Workshop Administrator to join our operations team on a 3-month fixed-term contract.

This is a fast-paced administrative role supporting the day-to-day coordination of workshop activities, parts management, and operational administration.

The successful candidate will have strong office administration skills, excellent MS Excel capability, experience using Sage X3 (or similar ERP system), and the ability to coordinate multiple tasks efficiently.

Specific responsibilities

The following outlines the primary areas of responsibility. Additional responsibilities or functions may be required as necessary to support the business.

  • Provide administrative support to the workshop and operations team.
  • Maintain accurate inventory and stock movement records.
  • Coordinate the flow of parts between the warehouse, workshop, and engineering teams.
  • Update job records, work orders, and system data accurately.
  • Prepare and maintain spreadsheets, reports, and operational trackers in Microsoft Excel.
  • Process the booking in and booking out of parts and equipment using Sage X3.
  • Schedule and coordinate workshop activities, deliveries, collections, and internal logistics.
  • Liaise with engineers, warehouse staff, suppliers, and internal stakeholders.
  • Ensure documentation is completed accurately and filed appropriately.
  • Support the Workshop Manager with general administrative and coordination tasks.
  • Assist with stock checks and inventory reconciliation where required.

Skills & Experience

  • Previous experience in an administration, workshop administration, operations support, or logistics coordination role.
  • Experience using Sage X3 or a similar ERP/business management system.
  • Strong Microsoft Excel skills, including spreadsheets, data entry, and reporting.
  • Excellent organisational and coordination skills.
  • High level of accuracy and attention to detail.
  • Ability to manage multiple priorities in a busy operational environment.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office, including Outlook and Word.
  • Experience working within a workshop, engineering, manufacturing, telecoms, or technical environment.
  • Knowledge of stock control, inventory management, or parts administration processes.
