As our Compliance Data & Exams Officer, you'll support the successful delivery of apprenticeship programmes through efficient administration, exam coordination, data management and compliance activities. You'll work closely with learners, employers, awarding organisations and internal teams to ensure all processes are completed accurately and in line with funding regulations.
Key Responsibilities
- Coordinate exam bookings and support exam scheduling activities.
- Process and communicate exam results to learners.
- Upload documentation to EPA Pro and awarding body platforms for gateway submissions.
- Register and certify learners with awarding and funding bodies.
- Conduct eligibility checks for apprenticeship applicants.
- Assist with data transfers and maintenance within PICS and BUD systems.
- Support levy and non-levy employers with Digital Apprenticeship Service (DAS) account management.
- Carry out learner file checks to ensure compliance with funding requirements.
- Maintain accurate learner records and management information systems.
- Support audits, compliance activities and data-cleansing projects.
- Manage compliance-related queries and inbox administration.
- Liaise with employers, awarding bodies and funding agencies as required.
- Ensure all work is completed in accordance with GDPR, safeguarding, and company policies.
What we are looking for:
We're looking for someone who is detail-oriented, proactive and confident managing multiple administrative processes simultaneously.
- GCSE Maths and English (Grade A-C / 4-9) or equivalent.
- Experience working within apprenticeships or the training sector.
- Knowledge of apprenticeship funding and compliance requirements.
- Experience maintaining accurate learner data and MIS systems.
- Strong administrative and organisational skills.
- Excellent written and verbal communication skills.
- Ability to prioritise workloads and meet deadlines independently.
- Confident using Microsoft Office and database systems.
- A commitment to maintaining high standards of accuracy and confidentiality.
- Experience using PICS and/or BUD.
- Knowledge of awarding body processes and requirements.
- Previous experience supporting apprenticeship examinations and certifications.
- Experience working with employer-funded apprenticeship programmes and DAS accounts.
