Duties and responsibilities include:
- Monitoring daily the Opera list and keeping a record of outstanding and completed tasks.
- Issuing jobs to the Duty Engineers and updating records on completion times.
- Being responsible, along with the Chief & Assistant Chief Engineers, for stock control and ordering of materials.
- Liaising with external suppliers and contractors regarding the purchasing of consumable items.
- Monitoring and checking stocks daily and completing a purchase order request form for the GM to sign.
- Answering the office phone, taking messages, and dealing with all related hotel enquiries for maintenance requests.
- Issuing and checking all daily worksheets from staff and ensuring they are completed before staff leave at 16.30.
- Printing off new worksheets and ensuring that all forms and timesheets are readily available.
- Being responsible for the departmental wage sheet and ensuring the log is completed daily and handed in on time, including any overtime payment forms.
- Keeping the office paperwork up to date, including all orders, delivery notes, statutory forms, etc.
- Ensuring that all departmental and mandatory records and paperwork are kept up to date and filed correctly.
- Monitoring all daily contractors and agency staff and being responsible for completing their timesheets.
- Issuing permits to work for various contractors and ensuring they are signed by the Chief Engineer and filed for future inspection.
- Completing all monthly rotas for engineering staff one month in advance.
- Completing and monitoring a departmental holiday planner and Planned Maintenance chart and updating as necessary.
- Checking daily the BMS system and reporting any faults to the Duty Engineers.
- Assisting the Chief Engineer with departmental staff training and ensuring that all training records are up to date and filed for inspection.
- Familiarising with technical terms and material names to liaise with relevant suppliers.
- Building up a database of nominated suppliers and frequently checking prices to ensure the hotel is getting the best value for money.
- Liaising with Housekeeping, Front Office, Departmental Heads, and Duty Managers daily to ensure jobs are prioritised and completed on time.
Costs and Efficiency:
- Minimising wastage at all opportunities.
- Being responsible for stock control as required by the Chief Engineer.
- Following the purchasing policy of the Hotel and using only nominated suppliers.
- Actively promoting an energy-efficient culture throughout the department.
Customer Relations:
- Responding to guest comments positively and passing feedback to the Chief Engineer.
- Using the guest’s name when entering a bedroom.
- Projecting a positive image of the Hotel at all times through manner and appearance.
- Suggesting ways of improving the Hotel and its facilities based on feedback from Guests.
- Assisting new members of staff with their role and conducting on-the-job training as required.
