Duties and Responsibilities
- Actively participate in assisting to achieve departmental goals and objectives and carry out assigned work by HODβs and Supervisors.
- Actively engage in your own personal development to benefit the business and improve your personal skills β probationary period reviews, annual appraisals, attending training and development courses.
- Actively participate in weekly/monthly departmental meetings and any other meetings that you are required to attend.
- Actively participate in addressing complaints and resolving problems.
Primary Duties
- Respond to enquiries from agents/clients by phone, fax, email & online bookings platforms within the stated time limit and in a professional manner.
- Practice efficient and effective yield management in line with guidelines and in consultation with the Conference & Events Sales Office Manager. Promote special offers where appropriate and maximise each and every sales opportunity, in a pro-active manner.
- Be responsible for conducting show rounds of the Hotel facilities.
- Prepare contracts and ensure maximum conversion of all business taken in the hotel diaries. Ensure all business is chased and departmental guidelines are followed at all times.
- Pro-actively sell the hotel to both potential and current clients.
- Pro-actively research potential clients who use competitor venues and become a Hotel Champion for competitor venue/s.
- Ensure guest satisfaction by attending to their requests and enquiries courteously and efficiently.
- Ensure client receives a detailed function sheet (BEO) in advance of their event. Communicate this information in a timely and accurate way to all operational departments.
- Attend the weekly function sheet meeting as required.
- Receive feedback from the client after the event via follow up calls and/or written correspondence. Resolve any disputes and complaints in a professional manner and within guidelines issued. Feedback all comments to relevant hotel personnel. Request further and repeat business.
- Record all denied business in hotel system, ensuring business is referred to other properties within the group.
- Monitor and maintain online platforms with up-to-date hotel information.
- Print the weekly function pack and distribute to relevant departments.
- Email daily/weekly reports to relevant departments/team members.
- Assist colleagues to perform similar or related jobs when necessary.
- Accept flexible work schedule necessary for uninterrupted service to hotel guests.
- Maintain own working area and materials clean, tidy and in good shape; report defective materials and equipment to appropriate person within the hotel.
- Continuously seek to endeavour and improve the department's efficient operations and knowledge of own job function.
- Participate in familiarisation trips and internal events as required.
- Follow all applicable laws and corporate standards and guidelines.
- Attend and participate in internal meetings and trainings as appropriate and requested by C&E Sales Manager.
- Any reasonable request from your manager.
Health & Safety
- Have full knowledge of and be able to act upon the Fire Procedures as laid down in the hotel fire plan in accordance with the Fire Precautions Act (1971).
- Report faults and health and safety hazards.
- Be fully conversant with and implement Hygiene and Safety Standards in line with the company policy statement, the Health and Safety at Work Act (1974) and the Hygiene Regulations (1971).
- Exercise care, attention and vigilance towards guests, colleagues and hotel property.
- Ensure any accidents to staff, guests or visitors are reported in accordance with hotel procedures.
