**Working Hours** 35 hours per week, 9:30am to 5:30pm but additional hours may be required. We are happy to consider agile and flexible working patterns. Our approach to hybrid working allows for up to 40% of time working from home and 60% working in the office, please contact a member of the recruitment team to discuss further.
**Role Overview** The post holder will work as part of the Corporate Real Estate team, actively managing the global HL portfolio to align with the firmwide goals and strategies as well as departmental goals. A flexible approach to the post holder's hours is required to support meetings with offices in different time zones.
**Key Responsibilities** Specific duties or responsibilities may be reviewed from time to time to reflect changes in personnel and management structure, staff location or services. All members of the firm participate in our Responsible Business program.
- Maintenance of a central lease repository system and the provision of key lease event summaries.
- Ensure all lease documentation is kept fully up-to-date.
- Preparation of a portfolio overview and the supply of location specific strategy reports that reference key market data from Real Estate Consultants.
- Administer rent and service charge queries.
- Review all rent, rates and service charges to ensure compliance with lease documentation.
- Appointment of Real Estate and Professional team Consultants, including RFI's, RFP's, appointment contracts and performance monitoring.
- Prepare all business cases for new lease commitments and significant capital spend for submission to the IMC.
- High level programme management to ensure project list is kept up-to-date and critical dates are supported.
- Regular communication with key internal project teams within the organisation.
- Regular finance monitoring and preparation of annual OPEX and CAPEX budgets.
- Regular review and updates to company content and building insurance; liaising with insurers in relation to capital expenditure works and portfolio changes.
- Drive a departmental change agenda, providing support to the Head of Corporate Real Estate in the negotiation of key support contracts and framework agreements.
**General Responsibilities**
- Provide regular reports and updates to the Head of Corporate Real Estate on all activities within the remit of the role.
- Ensure all activities and duties carried out are in full compliance with statutory and regulatory requirements and the firm's standards.
- Identify opportunities for efficiency savings and / or shortfalls in appropriate governance or approvals.
- Act as a coordinator and facilitator between other departments and stakeholders when assisting with their requirement and ensure a 'one team' approach to service delivery.
**Skills & Experience**
- Substantial experience within a similar role, ideally in a professional services environment.
- Strong MS Office skills.
- Experience in managing and supporting projects within an organisation.
- Previous experience of supporting a global or regional portfolio of offices.
- Good commercial and contract management skills.
