Under the overall management of the Talent Manager, this individual will deliver support services to colleagues across the employee lifecycle, acting as the first point of contact for managers, employees, visitors and external partners. The role will support across all aspects of the People function, including Talent, L&D, HR Operations and Facilities, providing a high quality and comprehensive service with professionalism, enthusiasm, and a passion for creating an exceptional experience for candidates, colleagues, and guests.
Key Responsibilities will include:
- Support in the delivery of the people strategy to enable the business to meet its strategic objectives.
- Support in ensuring a consistent and positive candidate experience, managing hiring managers and candidates through recruitment and onboarding process, organising interviews, meeting rooms and interview packs.
- Work closely with the wider people services team and finance to ensure all recruitment is within the budget and approvals for all recruitment are escalated and completed prior to any further activity.
- Encourage diversity of thought and promote an inclusive working environment.
- Support SM&CR activities, ensuring timely completion of SM&CR vetting, applications and regulatory requirements or reporting.
- Production and maintenance of fit for purpose process maps that are aligned to the policy framework.
- Produce regular, standard MI reports and dashboards that can be used for both reporting and insight purposes plus ad-hoc reports as required.
- Work closely with internal communications and L&D to “operationalise” the production of data for the team and for the business.
- Interrogate the reports / dashboards to produce basic insight to share across the function and the broader business.
- Inputting of data into HRIS system in preparation for payroll across all aspects of the employee lifecycle.
- Assist in the administration of employee benefits (pension scheme, private medical insurance, death in service benefit, company cars etc) ensuring documentation and records are maintained, and that annual renewals, payments etc are completed and accurate.
Facilities:
- As the initial point of contact for our colleagues and guests at Hodge, your role is to establish a warm and welcoming first impression of our business.
- You will be responsible for preparing meeting rooms for visitors and board/committee sessions.
- In line with the Visitor and Access Policy, ensure visitors and guests have signed into the office correctly, and handle any staff pass-related matters, like new employees or lost passes.
- Ensure colleagues have a smooth experience throughout the day and assist in implementing a self-serve culture in the office.
- Collect post or parcels that arrive from One Central Square.
- Main point of contact for One Central Square staff in regard to visitors, parking and, when appropriate any building management queries.
- Manage requests for onsite parking.
- A first point of call for staff with any general, facilities or H&S queries.
- General office housekeeping such as ensuring there is sufficient stationery, kitchen and cleaning supplies in the office.
- If required, process orders, ensuring that it is cost effective.
- Assign lockers to staff and keep the log up to date and other duties.
- Act as a deputy in Business Continuity Plan for facilities management and keep up to date with all facilities related actions for the Business Continuity Plan.
- In line with company policy and contractual agreements, book trains, taxis, cars and hotel rooms for staff.
- Goods receipt purchases in conjunction with Procurement.
- When necessary, assist in implementing risk assessments, including DSE assessments and the Health and Safety Policy when appropriate.
- Ensure all incidents are documented in the agreed format and reported.
- Complete an office inspection weekly, ensuring any issues are reported.
General Responsibilities:
- Ensure risks and controls are managed robustly and evidenced through all aspects of the role including processing for SMCR.
- Develop and maintain good knowledge of regulatory and legislative requirements in relation to all aspects of HR and other financial services provider requirements eg GDPR, money laundering etc.
- Support the risk culture of the organisation by taking personal responsibility for identifying and managing risks in everything you do.
