What you'll do

  • Manage day-to-day operations of the facility, ensuring that all areas are well-maintained and meet safety standards.
  • Coordinate and oversee maintenance and repair activities, working closely with contractors and service providers to ensure timely completion of tasks.
  • Conduct regular inspections of the facility to identify areas needing attention and implement corrective actions as necessary.
  • Maintain accurate records of facility maintenance activities, including schedules, service reports, and compliance documentation.
  • Assist in the development and implementation of facility management policies and procedures to enhance operational efficiency.
  • Collaborate with various departments to understand their facility needs and provide appropriate solutions to support their operations.
  • Manage inventory of supplies and equipment, ensuring that necessary materials are available for maintenance and operational activities.
  • Respond promptly to facility-related inquiries and issues from staff, providing effective solutions and support as needed.
  • Coordinate health and safety training sessions for staff, ensuring compliance with local regulations and company policies.
  • Assist in budget preparation and monitoring for facility-related expenses, identifying opportunities for cost savings.
  • Support sustainability initiatives within the facility, promoting environmentally friendly practices and waste reduction.
  • Act as the primary point of contact for all facility-related emergencies, ensuring swift resolution and communication with relevant stakeholders.

Requirements

  • Proven experience in facilities management or a related field, with a minimum of 3 years in a similar role.
  • Strong understanding of health and safety regulations and best practices in facility management.
  • Excellent organizational skills, with the ability to manage multiple tasks and prioritize effectively.
  • Strong communication skills, both verbal and written, with the ability to interact professionally with staff and external partners.
  • Proficiency in using facility management software and Microsoft Office Suite.
  • Ability to work independently and as part of a team, demonstrating initiative and problem-solving skills.
  • Valid driver's license and willingness to travel to different sites as needed.

Nice to have

  • Certification in facilities management or a related field (e.g., IFMA, BIFM).
  • Experience with project management and coordinating renovation or construction projects.
  • Knowledge of sustainability practices and energy efficiency initiatives.

  • Facility management software (specific tools may vary).
  • Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Communication tools (email, phone, video conferencing).
  • Basic understanding of building systems (HVAC, electrical, plumbing).
