Our client who are a leading commercial law firm in Newcastle are seeking to add an Events Assistant to join the firm’s marketing function.
As an Events Assistant, you will support the work of the dedicated events team, including assisting in the delivery of our webinar programme. You will help orchestrate the logistics of dinners and sporting events, ensuring their successful execution. You will also manage the inventory and distribution of marketing merchandise and materials. This role involves close collaboration with the wider marketing team to streamline marketing operations and support the department’s administrative needs.
Duties will cover:
Events support:
- Organise the delivery of some of the firm's webinars
- Assist in the preparation of conferences including packing, managing badges, place cards and providing general administrative support
- Support the work of the Events Manager and Events Assistant in their delivery of the busy schedule of the events across the year.
- Provide support at in person events, including 'meet and greet' and logistics
- Be the ambassador / key interface with the content team to share the in person events activities across our social media channel
Dinners and sporting events:
- Organise and manage logistics for attendance at dinners and sporting events
Merchandise management:
- Handle the ordering, inventory and organisation of marketing merchandise
Administrative support:
- Manage credit card statement reconciliations and assist with budget coding for marketing expenditure relating to events
- Assist in organizing team activities such as scheduling meetings, booking travel, coordinating 'lunch and learns' and other team gatherings
- Any other administrative tasks to support colleagues and the team's plans as agreed with your manager.
Requirements:
- Previous marketing, events or business administration experience
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Considerable organisational and time management skills
- Strong attention to detail and able to balance a wide range of priorities
- Excellent written and verbal communication skills
- Self-motivated
- Detail oriented
- Proactive and enthusiastic about delivering positive outcomes
- Desire to learn and develop
