About the role
We have an exciting new opportunity for a Project Coordinator to join our Glasgow office.
The Hoare Lea Glasgow office plays a pivotal role in delivering high-profile projects across Scotland and the wider UK, with particular expertise in Healthcare, Education, Science & Research, and Commercial sectors. Our team combines technical excellence with local knowledge, collaborating closely with national teams to deliver sustainable, people-focused engineering solutions.

As a Project Coordinator, you will provide vital support to Programme Directors (PDs) and Project Leaders (PLs) by managing project administration and coordination tasks. This role will help ensure project activities are well-organised and delivered efficiently. You will need strong organisational and communication skills, great attention to detail, and the ability to manage multiple responsibilities in a fast-paced, multidisciplinary environment.
What youβll be doing
Project coordination:
β Support with local enquiry activities ensuring accurate documentation.
β Pre project set up stage activities, document control and ensuring contracts and compliance are in place.
β Support with local forecasting and resourcing activities.
β Work with local team and finance coordinator to ensure all parties are up to date with relevant information required for ongoing project support. This can include budget tracking reporting.
β Support with other local administration.
β Coordinate programme activities across teams and disciplines to meet deadlines and deliverables,
β working closely with PDs and PLs.
β Help manage communication between the internal team, stakeholders, and clients to ensure alignment.
β Track and assist in resolving project issues as they arise.
Administrative support:
β Perform day-to-day administrative tasks, such as document management, filing, and internal communications.
β Maintain project records and ensure document control systems are robust.
β Support onboarding and offboarding of project team members.
β Ensure project quality and health & safety procedures are implemented and maintained.
β Support project audits and help collate key documentation.
Stakeholder and Client communication:
β Act as a central point for coordinating meetings, events, and site visits.
β Assist in stakeholder engagement activities, including client updates and communications.
About you

β Proven experience in project coordination or administrative roles.
β Familiarity with project management tools and methodologies.
β Strong organisational skills with the ability to manage multiple deadlines.
β Excellent communication skills, both written and verbal.
β High attention to detail and commitment to quality.
β A proactive approach with the ability to work independently and collaboratively
