We are seeking a detail-oriented and proactive Purchasing Team Member to join our dynamic finance team based in Unity Business Services, DFT Operations Centre in Swansea.
This role is responsible for ensuring the accurate and timely processing of shopping requisitions, resolving discrepancies, and supporting buyer support operations in line with service level agreements (SLAs).
The ideal candidate will have a strong understanding of Purchase to Pay (P2P) processes, experience in high-volume transactional environments, and a collaborative mindset to support both team and organisational goals.
The role holder's responsibilities will include:
- Support the effective dual running of two Enterprise Resource Planning (ERP) systems (SAP and U4BW).
- Co-ordinate and run reports from SAP and U4BW to meet customer and internal reporting requirements.
- Manage and resolve Purchase Orders and goods receipt queries from Business Units, Suppliers and Support Desk.
- Liaise with customers to assist in resolving shopping cart issues and queries.
- Participate in a team-based culture which addresses customers' needs and contributes to cross-team activities.
- Assist the Head of P2P with operational and reporting tasks and respond to requests from management-level colleagues within the HMRC P2P Team, Unity Business Services (UBS).
- Participate in cross-team activities and support coaching and mentoring efforts.
- Support ongoing and future projects, including system migrations and process transitions.
- Line management responsibilities may be included in the future.
Responsibilities of the role could include but are not limited to:
- Monitor, approve and reject shopping cart requisitions accurately and in line with policy and Standard Level Agreements.
- Track, monitor and report on business unit non-compliance within the standard processes.
- Process Service Requests (SR) promptly to ensure targets are met.
- Review compliance with procurement policy (contracts, quotes, approved Suppliers) and advise Business Units accordingly with SLAs.
- Resolve delivery discrepancies with Suppliers.
- Investigate and resolve supplier queries.
- Upload product catalogues upon receipt of relevant information from the Business Unit.
- Provide support to other P2P team members to ensure team targets and service levels are met.
- Provide excellent customer service while ensuring standard process is followed.
- Engage in personal and team learning to support multi-skilling across transaction teams.
- Identify and suggest improvements to processes and procedures for greater efficiency and service quality.
- Participate in system and process changes and conduct testing and test coordination.
Essential Criteria:
- Proven experience in a fast-paced, customer-focused environment.
- Strong attention to detail and ability to meet tight deadlines.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with ERP systems such as SAP or U4BW.
- Ability to communicate information clearly and effectively, both verbally and in writing, tailoring messages to a range of audiences.
- Experience working flexibly and adapting to changing priorities in a fast-paced environment.
- Experience of delivering a customer-focused service and working collaboratively with others to identify solutions and resolve problems.
Desirable Criteria:
- Experience in Shared Service Centres Procurement and/or Finance processes.
- Line management experience and a track record of driving performance improvements.
