Planning Officers are responsible, collectively as part of the planning team, to organise and create Learning Events, as well as maintaining and managing ongoing events. The role involves working closely with Tax Customs & Compliance Academy (TCCA) stakeholders, to ensure that Commissions for Learning events are prioritised, arranged, and managed. Planning Officers are also responsible for planning delivery of Learning Routeway Events that follow a specific timetable.
Job description
- Create learning events using Planning Tools; Including Integrate Planning Tool (IPT).
- When allocating trainers consider the wider delivery requirements, priorities and wellbeing of trainers.
- Allocate role players to events and update spreadsheet.
- Update the IPT events.
- Work collaboratively with Learning Delivery managers (LDMs) across TCCA.
- Issue planning/delivery invitations to relevant parties - trainers, LDMs, and the relevant business stakeholders.
- Maintain an audit trail using planning spreadsheets, templates, and mailboxes.
- Alert Planning managers of risks to learning delivery.
- Undertake rework - trainer unavailable/replacement, Business cancellation of events or rescheduling events.
- Update all planning records on receipt of relevant information.
- Provide end of commission/event reports.
- Participate in Stakeholder calls and meetings.
- Collate statistical information as required by Senior Planning manager.
- Participate in forecasting meetings to provide clarity on availability of resource.
- Support the wider P, L&A team by flexing/sharing resources and best practice.
- Upskill colleagues into new planning areas.
- Create and update Standard Operating Procedures to provide support and ensure quality.
- Support admin colleagues.
- Monitor Mailboxes.
- Engage in Team meetings/calls.

Person specification
- A working understanding of Excel and O365 applications.
- Able to operate effectively under own initiative and within a team.
- Is highly organised with the ability to plan, organise and prioritise workloads to meet deadlines.
- Experienced in making confident decisions, demonstrating an understanding of the wider impacts.
- Strong attention to detail.
- Versatile with the ability to become multi-skilled across a variety of tasks within the team.
- Ability to work at pace, completing tasks accurately within agreed timescales.
- Is a confident communicator - you will need to engage effectively with a range of colleagues and stakeholders.
Essential Criteria:
- Experience of event planning and event management.
- Experience of using event planning systems, databases or other event management applications.
- Ability to build and maintain effective relationships with stakeholders.
- Good communication and organisational skills.
- Good level of digital skills (a large proportion of role requires working with Excel sheets, mailbox management and SharePoint sites).
- Proactive problem solver, ability to work through issues collaboratively.
- Ability to work flexibly between competing requirements.

- Experience of working within the Planning functions of IPT (Integrated Planning Tool).
