Job Description
Overview
As the Sample Coordinator for the photo studio team you will manage the flow and accuracy of product samples to support seamless studio operations.
This role is well-suited to individuals with a background in buying or production, particularly those with experience in sample management. It may also appeal to candidates transitioning from a store environment to head office and have stockroom/administrative experience with a keen interest in working within a creative studio setting.
Responsibilities
- Oversee sample intake and maintain an accurate, well-organised sample library
- Manage daily post and courier logistics for incoming and outgoing samples
- Monitor sample inventory and adjust based on stock levels and seasonal availability
- Conduct audits to ensure sample accuracy and readiness for shoots
- Track and follow up on missing samples needed for production
- Support the Studio Team and Sample Manager to ensure timely sample arrivals from global offices
- Respond quickly to urgent on-set sample requests
- Collaborate with PR and Fashion teams to optimise sample sharing
- Maintain a clean and efficient sample storage area
- Prepare samples for shoots, ensuring stylists have everything they need
- Provide regular reports on sample deliveries (weekly, monthly, annually)
- Offer ad hoc administrative support to studio projects as needed
Qualifications
- Experience coordinating samples within buying, production, studio or stockroom environments
- Proficiency in Microsoft Office, especially Excel
- Strong organisational and time management skills
- Proactive, self-motivated, and collaborative mindset
- Excellent communication skills
- A strong understanding of COS brand aesthetics
