As a payroll administrator, you are responsible for general payroll processing and administration. You ensure compliance with statutory legislation, regulations, internal control standards, and the company\’s processing guidelines.
As a leader within the function, you demonstrate behaviors that support team leadership and company culture:
- Leading by example and actively demonstrating H&M values, encouraging the team to do the same.
- Managing the Payroll Administrator team, providing advice and guidance, and encouraging continuous improvement and a solution-focused approach.
- Coordinating investigations and handling ad-hoc queries as needed.
- Ensuring all key payroll and internal controls are performed accurately and documented where necessary.
- Liaising with the Payroll Supervisor to keep them updated on payroll status.
Payroll Processing (Bi-weekly & Monthly):
- Organizing the Payroll Administrator team to ensure quality, accuracy, and deadlines are met.
- Ensuring all checks and controls are regularly in place.
- Carrying out tasks allocated as per the new SAP / Zalaris process.
- Dealing with payroll queries efficiently to ensure a positive customer experience.
- Reporting concerns in T&A to the Payroll Supervisor and relevant system supervisors.
- Calculating correct pay, notifying employees, and requesting returns using standard templates.
- Liaising with employees to discuss payments and queries.
- Maintaining records ongoingly.
General Administration:
- Managing general office organization.
- Keeping process notes and local work instructions up to date.
- Filing and other administrative tasks as required.
WHO YOU’LL WORK WITH
You will collaborate with multiple teams to support the successful expansion of the business, working closely with Payroll, Area, and Store teams to provide insights and recommendations.

We are looking for people that are/have…
- Previous experience in a payroll processing environment.
- Excellent attention to detail and ability to quickly learn new software/systems.
- Proficiency in Microsoft Office, especially Excel (VLOOKUP & Pivot tables).
- Experience managing a team.
- Ability to adopt a coaching approach to enhance colleagues\’ skills.
- Self-driven and capable of working in a fast-paced environment.
- Understanding of data confidentiality and compliance with Data Protection Act.
- Knowledge of statutory payments legislation.
- Basic knowledge of Employment Law.
- Some knowledge of asylum and immigration laws and processes.
