Job Description (Roles and Responsibilities)
Main purpose of job:
This role will sit within the British Embassy\’s Economic, Climate, and Science (ECS) team. The successful applicant will be responsible for supporting the team\’s work across a broad portfolio in climate and nature.
The selected candidate will work directly with the Environmental Policy/Biodiversity and Oceans team, assisting with a variety of activities and administrative tasks. These will include the organisation, planning, and delivery of events, meetings, and official visits; the management and updating of databases; as well as the development of communication materials.
The jobholder will support the team\’s budget planning and will help develop financial processes, with guidance and support from their line manager. They will also be expected to produce draft documents, take meeting notes, and conduct research on topics related to the team\’s agenda. The successful candidate should be able to meet tight deadlines with strong attention to detail and work in an organised manner under the supervision of the Biodiversity and Oceans Officer.
Finally, the jobholder is expected to support the delivery of the biodiversity and oceans portfolio and contribute to stakeholder engagement in these areas.
Roles and responsibilities / what will the jobholder be expected to achieve?
1. Administrative tasks (30%)
- Organise, plan, and deliver events, meetings, and official visits.
- Develop external and internal communication products.
- Continuously update office databases and manage archives in compliance with GDPR and information management guidelines.
- Develop official documents under the guidance of the Biodiversity and Oceans Officer (e.g., official invitations, letter preparation, presentations, briefings, among others).
- Responsible for organising and managing IT requirements for in-person and virtual meetings as needed by the EP&BO team.
- Provide translations (English-Spanish/Spanish-English) as required.
2. Finance and budget planning and processes (20%)
- Support the management of suppliers, quotations, procurement, and payments through the HERA system.
- Forecast and track the team\’s expenses effectively.
3. Support the delivery of the biodiversity and ocean\’s portfolio (30%)
- Assist the Environmental Policy Lead/Head of Oceans and Biodiversity and the Biodiversity and Oceans Officer in managing the biodiversity and oceans portfolio.
- Support the engagement process for calls for proposals from FCDO and DEFRA related to biodiversity and oceans.
- Support stakeholder engagement.
- Develop readouts, draft documents, and conduct research.
4. Support the advancement of the biodiversity and oceans diplomatic agenda (10%)
- Assist the Environmental Policy Lead/Head of Oceans and Biodiversity and the Biodiversity and Oceans Officer in developing initiatives to advance the diplomatic agenda and FCDO priorities related to biodiversity and oceans.
- Be creative and propose activities that help the B&O team further the diplomatic agenda surrounding biodiversity and oceans.
5. Corporate objectives (10%)
- Actively participate in the corporate life of the Embassy.
- The jobholder will be expected to manage their own administrative tasks within the Economic, Climate and Science team.
- Complete performance appraisal requirements, including setting a career development plan, and identify and attend opportunities to enhance existing skills and/or develop new ones.
Essential qualifications, skills and experience
Essential on arrival:
- Bachelor\’s Degree (or equivalent) on International Relations, Political Science, Government and Public Affairs, Environmental Management or similar.
- Detail-oriented.
- Administrative and logistics experience.
- Budget management experience.
- Proficient user of MS Office, particularly of Excel.
- Proficient user of Canva.
- Proficient in Spanish and English (written and spoken).
- Knowledge in international negotiations on climate and biodiversity, sustainability and international cooperation.

Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
