Main purpose of job:
The role entails a variety of responsibilities that range from providing administrative support to performing various accounting duties for Post. The incumbent will interact with various suppliers, contractors, UK colleagues in the payments team, supplier maintenance team, procurement team and a wide range of other stakeholders and organisations. He / She will need a highly flexible approach to respond to a variety of other tasks and challenges. The Governor's Office is a fast-paced environment which requires the incumbent to think quickly to resolve processing issues and work within tight timelines. You will work under the supervision of the Corporate Services Manager.
Roles and responsibilities / what will the jobholder be expected to achieve?:
- Manage local payments including cash and bank account monitoring.
- Requisitioner, raising invoices and purchase orders for Post ensuring FCDO procurement guidance is always followed.
- Process Supplier Maintenance forms, Distribution Sets and Cash in Transit forms for approval by the General Transactions Processing Centre (GTPC) Team.
- Process outgoing payments in compliance with financial policies and procedures.
- Manage the monthly cash NPA accounting spreadsheet ensuring it is submitted for approval before the 6th of the following month.
- Process payroll, including Social Security & Stabilization Levy.
- Submit monthly bank statements to Finance Hub.
- Assist the GTPC team with anomalies in the reconciliation.
- Liaise with suppliers and contractors regarding invoice anomalies (email, telephone & face-to-face) for Governor's Office.
- Cash Box: manage the cashbox efficiently and in compliance with audit/financial best practice requirements, promptly processing all cash receipts, replenishing in a timely manner.
- Assist the Corporate Services Manager (CSM) with various accounting and budgeting activities in line with FCDO guidance.
- Support other colleagues within corporate services as and when necessary and adhoc duties as required.
- Fill in for the Residence, Events and Estates Manager during absences.
Essential qualifications, skills and experience:
- Minimum 2-3 years professional experience in the Accounting or Finance.

- IT knowledge - Proficiency in Microsoft Office (Word, Excel and Outlook).
